JOB TITLE: Executive Assistant

REPORTS TO: University President & Provost

POSITION SUMMARY: The Executive Assistant (EA) is a full-time position that provides administrative support to the President and the Provost of the university and plays a pivotal role in supporting both offices, ensuring seamless operations. This position requires a highly organized, proactive, and dedicated individual who can manage a wide range of administrative and executive support-related tasks with professionalism and confidentiality. The EA serves as a key liaison between the President/Provost and internal/external stakeholders, including faculty, staff, students, board members, donors, and community partners. Responsibilities include managing the schedule, coordinating meetings and events, preparing correspondence, handling confidential information, and supporting the President and Provost in strategic initiatives and special projects.
EDUCATION AND/OR EXPERIENCE REQUIRED:
Bachelor’s degree in Project Management, Business Administration, a human services field, or related field preferred.
A minimum of 5 years of relevant experience in Higher Education, or possessing transferable skills developed in a related field.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Prepare correspondence, letters, and memos; compose your own correspondence when necessary.
Provide administrative/secretarial support.
Handle extremely confidential information and correspondence.
Coordinate and arrange for special meetings with the President or Provost of the University.
Maintain the calendar of the President and Provost by coordinating meetings and appointments.
Make travel arrangements and prepare expense reimbursements.
Process incoming and outgoing mail.
Establish and maintain files as necessary.
Communicate with stakeholders as a steward of the University.
Work and communicate in a professional manner with other Office of the President team members to maintain a positive work environment as well as ensuring continuous improvement of operations with particular attention to fostering the efficiency and productivity of the Provost and President.
Handle special projects and other duties as assigned by the University Provost and President.
Oversee daily office operations to ensure a smooth and efficient work environment, including coordinating supplies, serving as front desk receptionist, and implementing organizational procedures.

REQUIRED SKILLS AND ABILITIES:
Excellent written and verbal communication skills
Excellent organizational and time management skills; able to manage multiple priorities
Effective judgment, tact, diplomacy, and discretion are required in all matters
Demonstrated effective interpersonal skills; able to establish and maintain effective working relationships across lines of difference
Must be able to maintain strict confidentiality
Able to maintain a high degree of professionalism at all times
Attention to detail
Excellent partnering, communication, and presentation skills
Proficient with Microsoft Office, Adobe, and Google Suites is preferred
Experience working in higher education is preferred
