Job Summary
The Principal’s Administrative Assistant supports them in the planning, organization, and management of school activities and programs. This includes coordinating and tracking various tasks and processes to ensure a smooth operation of daily school functions. It also includes planning and coordinating all aspects of the graduation ceremony. The Principal’s Administrative Assistant represents the school to students, parents and guardians, guests, community members, vendors, and others. As such, they must demonstrate a high degree of professionalism. Due to the busy work environment and the varied responsibilities of the position, the Principal’s Administrative Assistant must be adaptable, able to track multiple projects, and work independently as well as collaboratively with colleagues.
Essential Duties and Responsibilities
General and Administrative Duties
Maintain accurate current staff and personnel records for building including contact information, leave usage absences, worker’s compensation
Order and coordinate supplies for classrooms, including verifying and sorting once delivered, and fulfilling and distributing supply requests
Maintain supply cabinets
Maintain staff mailboxes
Assist with opening day newsletter mailing and organize and compile opening day packets for staff and students
Forward health record to School Nurse
Maintain school calendar of events
Greet and assist students, parents, and staff
Answer phones
Answer doorbell and screen visitors
Produce mailings (progress reports, reports cards, letters, etc.)
Administer clerical duties for student withdrawals
Maintain attendance records for students including checking student absence line, signing students in late, giving passes to class, and updating dismissals
Maintain administrative schedule for parent or staff meetings and other meeting requests
Facilitate meeting arrangements (i.e. coordinate space, time, availability of attendees, and other logistics as needed)
Maintain databases for student and staffing record-keeping
AESOP/Veritime
Input data, monitor for accuracy, reconcile and generate reports
Coordinate coverage for staff vacancies
Provide technical assistance as needed to staff
Powerschool
Facilitate and ensure accurate and timely distribution of student information to appropriate departments within the school and district
Enroll students in classes
Input and update change of addresses, emergency contacts, student lists
Input data from free and reduced lunch forms, share with necessary departments
Process student withdrawals
Maintain student cumulative files
Provide technical assistance as needed (i.e., resetting student passwords)
MUNIS
Process purchase orders
Ensure accurate distribution of purchased materials
Receive and advise account payable to make payment
Maintain school building budget
Maintain school safety procedures and ensure their adherence
Ensure compliance with court ordered parent/guardian requirements
Assume role of a “Safety Captain” for school
Ensure “walkie-talkies” are maintained
Manage school correspondence
Process all mailings related to student records
Distribute student report cards and progress reports
Facilitate School Messenger updates to families
Ensure accurate distribution of postal mail and packages
Filing and Data Archiving
Advance cum files at the end of each year
Send files to schools students transfer or advance to
Minimum Qualifications (Knowledge, Skills and/or Abilities Required)
Eligible candidates must possess the following qualifications:
High School diploma or equivalent
3-5 years of clerical experience (Level H)
Proficiency with Microsoft and Google Suite
Familiarity with using databases
The ability to establish and maintain effective working relationships with students, parents, staff, and the public.

Working Conditions & Physical Requirements
Must have the ability to sit and stand for extended periods of time; exhibit manual dexterity to dial a telephone, to enter data into a computer terminal; to see and read a computer screen and printed material with or without vision aids; hear and understand speech at normal classroom levels, outdoors and on the telephone; speak in audible tones so that others may understand clearly in normal classrooms, outdoors and on the telephone; lift up to 25 pounds to shoulder height; to bend, to stoop, to sit on the floor, to climb stairs, to walk and to reach overhead.
