About
the Role
Essity Canada is seeking an experienced Office Administrator and Executive Assistant to provide high-level support to Management Team members and the organization by facilitating information flow, preparing executive-level communications, and coordinating projects, events, and meetings. The role ensures smooth and efficient operations while fostering collaboration across departments. The ideal candidate may reside in Oakville, Ontario, Canada.

What You Will Do
Research, compile, and analyze information for executive reports, presentations, and communications, ensuring accuracy and relevance.
Draft, edit, and proofread various materials (e.g., correspondence, invoices, contracts, meeting minutes, reports, speeches, presentations) with attention to detail and timeliness, using modern productivity tools.
Maintain and update internal communication platforms, such as intranets and collaboration tools, to promote transparency and engagement.
Support functional projects as directed by the Manager, contributing to organizational initiatives and improving workflows.
Manage incoming correspondence and inquiries, ensuring confidentiality, prioritization, and efficient handling of sensitive information.
Organize logistics for meetings, workshops, and conferences, including taking detailed minutes, tracking action items, and ensuring follow-through.
Manage Managers’ calendars, balancing priorities and ensuring effective time management.
Assist in planning and preparing sales conferences, training sessions, and special projects or office meetings.
Oversee front reception duties, including answering phones and managing courier services.
Who You Are
At least 3 years of relevant experience supporting senior management.
College diploma or university degree.
Proficiency in English;
French skills are preferred.
Excellent MS Office skills.
Experience in project management is an advantage.
Strong organizational skills with the ability to work independently and reliably.
