ABOUT US:

Tomarco Contractor Specialties, LLP. ISAT Total Support, designs, manufactures, and distributes non-structural engineering and design systems for commercial construction applications since 1977,

PURPOSE/SUMMARY:

ISAT Total Support is seeking an organized and passionate Administrative Coordinator. The successful candidate will play a vital part in managing information, coordinating schedules, and assisting with various administrative tasks. ESSENTIAL DUTIES/RESPONSIBILITIES:

Pulling and Reviewing Reports: Gather, compile, and review various reports and data to support decision-making processes. Ensure accuracy and completeness of information.
Managing Information: Organize and maintain data, documents, and records efficiently. Ensure easy access to information and maintain confidentiality when handling sensitive data.
Heavy Calendaring: Manage and coordinate calendars, including scheduling meetings, appointments, and events. Ensure efficient time management and prevent scheduling conflicts.
Creating Travel Arrangements: Plan and organize domestic and international travel, including booking flights, accommodations, transportation, and creating detailed itineraries.
Summarizing Emails: Review incoming emails and highlight key topics and actionable items. Draft responses and handle routine correspondence as needed.
Project Support: Assist in the coordination and tracking of projects, including preparing presentations, reports, and documents. Monitor project timelines and deliverables, and provide regular updates to team members.
Office Coordination: Manage office supplies, maintain office organization, and assist in preparing materials for meetings and presentations.
Communication and Liaison: Act as a point of contact between team members, departments, and external parties. Facilitate clear and effective communication, ensuring that information flows seamlessly across the organization.
Administrative Support: Provide additional support as required, including but not limited to, expense reporting, filing, data entry, and other administrative tasks.

QUALIFICATIONS:

Proven experience in an administrative or coordination role, ideally supporting senior management.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software tools.
Strong attention to detail and organizational skills.
Excellent verbal and written communication skills.
Ability to prioritize tasks and manage time effectively in a fast-paced environment.
Strong problem-solving skills and ability to work independently and collaboratively.
Discretion and professionalism in handling confidential information.

Further Qualifications- The successful candidate must also pass a background check.
