Job Summary

Coordinates the administrative responsibilities related to office and human resources activity within the Dining Services unit. All University Housing staff will engage and contribute to a culture of diversity, equity, and inclusion within University Housing.

Duties & Responsibilities

Coordinates hiring process for civil service, academic professional, and extra help positions in Dining Service.

Initiates hiring process, coordinate interviews, summarize results, and conduct reference checks.

Obtains hiring approval, extend offers of employment, and initiate hiring documentation.

Assists with on-boarding and orientation for new employees and requests computer access for new employees.

Reviews Dining Service recruitment processes, and makes recommendations for streamlining existing processes, record keeping, and implements approved changes.

Answers inquiries and resolves problems which require interpretation, explanation, and justification of the collective bargaining agreement and past practice.

Processes resignation notices include communication with HHR and Dining Service.

Maintains accurate Dining Services’ employee files in collaboration with HHR, which contain items pertaining to probation, performance records, evaluations, and relevant documentation information.

Coordinates records for probationary employee evaluations including modifying due dates based on layoff implications and communicate with supervisors.

Prepares and distributes annual salary letters for academic professional and civil service open range employees and prepare and process appointment change notification.

Coordinates incoming communications by review, date stamp, and process, mail, email, and fax. Screen calls and visitors for Dining Services; determine needs and respond to routine inquiries and requests for dining administration.

Attends and records the meeting minutes for administrative meetings for Dining Service, including documenting outcomes and assigned actions.

Processes employee reimbursement and maintains records to ensure consistent implementation of the policy.

Co-coordinates benefits requests and travel for Dining Services staff using T-card resources, prepare travel request forms and travel itineraries, complete conference registration and travel logistics, and process reimbursements through TEM.

Performs other related duties as assigned, while maintaining confidentiality regarding all employment and business transactions.
