JOB SUMMARY
Provides administrative support for division leadership. Supervises administrative support staff and oversees special projects.
MINIMUM QUALIFICATIONS
Four (4) years of closely related experience OR an equivalent combination of related education and experience. Preference will be given to applicants with supervisory experience.
Due to the nature of this position, the successful applicant must pass a required background check through fingerprinting and enrollment in the continuous RAP Back (Record of Arrest and Prosecution Back) program in accordance with current County Human Resources policy requirements.
Preference will be giving to applicants who are bilingual in English and Spanish.
A valid Driver’s License accepted by the State of Utah is required at the time of hire. A valid Driver’s License issued by the State of Utah must be obtained within six (6) months of hire to operate a County vehicle.
It is mandatory that all new hires receive the Tdap (Tetanus, Diphtheria, and Acellular Pertussis) vaccine before beginning employment or provide a copy of their immunization record prior to starting employment. The immunization record must show the vaccine name and date received.
Upon hire, a two-step Tuberculosis skin test will be required. The first will need to be placed prior to starting employment.
ESSENTIAL FUNCTIONS
Supervises staff, which includes hiring, orienting, training, assigning, and reviewing work performance, annual work performance appraisals, and discipline.
Creates, maintains, and organizes reports, responds to correspondence, and provides program support.
Provides customer service by answering phones, greeting visitors, relaying messages, and distributing forms, documentation, and information.
May process GRAMA Records Requests and supervise the archiving of division records.
May prepare and maintain reports and financial records.
May supervise personnel action workflow and payroll coordination functions.
Provides support and training to division-wide support staff on a variety of topics
May process travel to include completing the initial travel request forms and, where appropriate, making hotel reservations, airline reservations, and car rental reservations.
May monitor and coordinate building and office equipment maintenance.
Collects, researches, analyzes, and organizes materials and information for special projects and reports.

IMPORTANT INFORMATION REGARDING THIS POSITION
This position works in the STD/STI Clinic and requires working with a diverse population in the Salt Lake County community. The position includes supervision of the receptionist, cash handling duties, accounting, hiring, orienting, training, assigning, audit medical codes, and reviews work performance. They provide support to the nursing supervisor, reception staff and nursing staff. This position also requires creating reports of clinic operations, budget, patient numbers, nurses workload etc. We are looking for a person who has great customer service skills and is culturally sensitive as well as knowledgeable in Word, Excel, Electronic Medical Records, has money management skills including preparing and monitoring budgets, and effective verbal and written communications.
Working hours are during clinic hours: Monday – Friday 8:00 AM – 5:00PM.

Work duties are typically performed in a general office setting.
