HR Administrative Assistant (Temporary)
Classification Title: Temporary Position
DESCRIPTION
The HR Administrative Assistant provides essential administrative and customer service support to the Human Resources department, ensuring positive employee experience. This role is ideal for an entry-level professional with strong organizational, communication, and interpersonal skills. The HR Administrative Assistant will be responsible for handling employee inquiries, maintaining HR records, and assisting with various HR processes, and will support all teams across the department.
This assignment will begin as soon as possible and will end on or before June 30, 2025.
MINIMUM QUALIFICATIONS
Applicants must meet all the qualifications below to be considered for the vacancy.
Education:
High school diploma or equivalent required; Associate’s or Bachelor’s degree in Human Resources, Business, or a related field preferred.
Experience:
0–2 years of administrative, HR, or customer service experience preferred.
PREFERRED QUALIFICATIONS
Strong interpersonal and communication skills (written & verbal)
High attention to detail and ability to maintain confidentiality
Proficiency in Microsoft Office (Word, Excel, Outlook) and HRIS systems such as Workday
Ability to multitask and handle a fast-paced work environment
ESSENTIAL POSITION RESPONSIBILITIES

Customer Service & Employee Support – 20%
Serve as the first point of contact for HR inquiries that come in through the HR inbox, providing friendly and professional assistance to employees and candidates.
Assist with onboarding and orientation, including scheduling, to ensure new hires have a welcoming and organized experience.
Respond to employee requests related to HR policies, benefits, and procedures, directing complex issues to appropriate HR staff.
Administrative Support – 40%
Assist with personnel file reviews to find paper tuition reimbursements that need to be entered into Workday
Review and scan retirement paperwork to the correct Retirement Specialist and Benefits
Reach out to employees to ask for MSRA enrollment paperwork to be completed through Workday
File and/or scan older MSRA enrollment applications
Assist with filing in the personnel files
Assist with moving termination files in the file room
HR Operations & Compliance – 25%
Support the administration of the MD 486 process for new employees
Collaborate with the Equifax to address employment verification requests
In collaboration with the HR Executive Assistant, help coordinate employee engagement initiatives and events
Project Support – 15%
Support with projects as assigned by the different HR teams. Projects may include downloading employee files from Frontline but have not yet printed the files and prepared them for the records office, supporting the Classification & Compensation team with job description organization or supporting Recruitment with application review.

Interviews will be limited to those applicants who, in addition to meeting the basic requirements, have experience and education which most closely match the position qualifications and the needs of the school system.

Professional references will be contacted prior to any offer of employment. Recommended candidates will be required to provide references from current and recent supervisors.
