What You Will Do

Maintain a well-organized, supplied, clean and safe office environment

Coordinate office activities and operations in compliance with company policies

Ensure administrative and office support is being facilitated, i.e. mail distribution, filing, errands, kitchen, conference rooms, answering phones etc.

Maintain a consistent and accurate diary of meetings using the internal office calendar

Coordinate and organize travel arrangements, meeting schedules, appointments etc.

Ensure general office cleanliness, neatness, professional appearance and security of office

Coordinate the ordering of office supplies, coffee and refreshment supplies, kitchen maintenance, distribution of office equipment, coordination of errands and general upkeep.

Arrange local and overseas courier and maintain courier records

Assist with materials library updates

Prepare agenda and minute senior management team meetings when necessary

Coordinate with SCL IT Department for office technology needs, upgrades, issues and monitor monthly copier meter records and billing

Assist Office Manager with preparation of new hire orientation, scheduling and on-boarding logistics

Support Office Manager with planning of staff functions, including birthday, holiday and other special occasions

Support Office Manager with office budgeting and general accounting functions; monthly office expenses, expense reports, receipts, reimbursables, purchase orders etc.

Other duties as assigned

What We Expect From You

A bachelor’s degree holder with over 5 years of experience in handling office administration / receptionist duties

Fluent English is a MUST

Experience working with design houses, hospitality, construction companies and large corporations would have an advantage

Experience coordinating office budgets, outside consultant’s information

Strategic thinker, able to gather and summarize information

Flexible, proactive, able to adhere to a defined process

Excellent organizational and communication skills

Demonstrated capability for problem-solving, decision making, sound judgment, attention to details

Self-motivated and able to communicate pleasantly and professionally

Confident working in a dynamic and continually changing environment

You will be based in Hong Kong for this role
