Job Summary

This position exists to provide administrative and receptionist support services to ensure the Department of Administration Human Resource office functions are performed in an efficient and effective manner. This includes providing front desk support activities, assisting visitors, responding to general inquiries, and monitoring the general HR email box and office main phone line. The position also performs general administrative support duties including supporting coordination of New Employee Orientation meetings and materials, administering and auditing the I9 process, running reports and maintaining logs.

Responsibilities include:

To perform front desk support activities including responding to general inquiries from employees, applicants and members of the public, monitoring the general HR email box and retrieving and sorting mail so that communication happens in a courteous, timely and consistent manner.
To perform administrative activities in support of the work of the Human Resources office including assisting with coordination of New Employee Orientation activities, administering and entering I9s, assisting with reporting and gathering of information for data requests, and employment verifications.
To assist in running various reports from HRIS, SEMA4, ELM, etc. as requested including gathering information used in labor negotiations, and maintaining various logs.
To assist the Staffing team by posting internal bid opportunities via job boards,and coordinating and preparing materials for job fairs.
Other duties as assigned.

Qualifications

Minimum Qualifications
One (1) year of experience performing office support work (i.e. receptionist, word processing, data entry, filing, copying, distribution of information and materials) in a professional office setting with access to confidential information.
Word processing and typing skills sufficient to prepare correspondence and documents.
Spreadsheet skills sufficient to organize data and information from a variety of sources, compile lists, and track projects and activities.
Database software skills sufficient to accurately enter data, retrieve information, manage database, and generate reports.
File management skills sufficient to accurately scan in and retrieve documents from an Electronic Data Management System (EDMS), or similar system.
Preferred Qualifications
Completion of post-secondary education in human resources or a related field.
Experience in State systems such as SWIFT, SEMA4, SWIFT Data Warehouse, Document Direct, or other comparable systems.
Experience working in a unionized environment including interpreting and applying union contract language.
Knowledge of the Minnesota Data Practices Act sufficient to respond appropriately to requests for data.
