Job Summary:
As the Associate Director of Administrative Services, your primary duty will be to supervise and enhance the administrative and support functions of our organization. This position entails ensuring the seamless and effective operation of our office activities. Key responsibilities will include managing budgets, policies, daily operations, vendor connections, and organizing tasks across different locations and facilities within our organization. This team member will have a significant role in fostering and maintaining our organization’s work environment.
Responsibilities:
Lead, guide, and evaluate a team of direct reports to drive high performance and support professional development.
Oversee the daily operations of the Administrative Services team to uphold efficiency and alignment with company policies and values.
Recruit, train, and mentor administrative staff to cultivate a collaborative and productive work environment.
Lead the strategic planning and direction of team member engagement events for the Trimont team.
Compile required reports for compliance and the MC team as necessary.
Identify potential vendors, negotiate contracts, handle pricing, and resolve vendor-related issues to secure cost-effective and reliable services.
Implement standardized procedures to improve efficiency across multiple locations.
Conduct training sessions and supervise the onboarding of new Concur users to streamline the integration process.
Assist in coordinating travel arrangements and obtaining travel approvals using the Concur platform.
Serve as the primary contact for travel, expense reports, and invoicing systems.
Monitor office inventory, organizational expenses, and contribute to internal communication channels like newsletters and staff meetings.
Develop and manage budgets for administrative services to ensure cost-effective operations.
Ensure compliance of all administrative activities with relevant regulations and company policies.
Lead and supervise special projects to ensure their timely and successful completion.
Required Qualifications:
Bachelor’s degree is preferred
5+ years of previous work experience is preferred
Displays strong planning and organizational skills with a detail-oriented approach
Proves to be a resourceful team player capable of building trusting relationships with both clients and colleagues.
Demonstrates practical knowledge of the Microsoft Office Suite
Has the ability to multitask and prioritize multiple projects effectively.
Exhibits exceptional listening and communication skills in both verbal and written forms.
Proficiency in PowerPoint is preferred
