Overview:
We are seeking a highly organized and detail-oriented Administrative and Reception Support Specialist to join our team. This role serves as the first point of contact for clients and vendors, providing exceptional customer service while managing a variety of administrative, payroll, and employee engagement responsibilities. The ideal candidate will excel in communication, multitasking, and supporting cross-functional teams, including HR, sales, and housekeeping.

Essential Duties and Responsibilities

Reception:

Warmly greet and assist clients and vendors upon arrival.
Answer and direct incoming calls; take and relay messages as necessary.
Provide exceptional customer service in-person and over the phone.
Assist with data entry and general administrative tasks such as faxing, filing, and scanning.
Organize and route documents appropriately.

Administrative Support:

Assist with bi-weekly payroll input and auditing.
Assist with entering PO’s for purchasing dept.
Review and submit timecards from employment agencies to appropriate parties.
Perform data entry for onboarding new employees as needed.
Provide Spanish-language support to applicants, employees, and temporary staff for HR-related issues.
Support Talent Acquisition efforts with administrative tasks, including:
Creating job offer letters.
Posting open positions and scheduling interviews.
Reviewing resumes.
Contribute to special projects as assigned.

Employee Relations Administrative Support:

Coordinate employee notifications such as birthdays, work anniversaries, new hires, and promotions.
Prepare and distribute monthly birthday and anniversary cards.
Assist in creating and distributing the employee newsletter.
Maintain employee communication boards with updated job openings and announcements.
Help organize and execute employee engagement activities, including:
Monthly cupcake celebrations.
Holiday parties, catered meals, raffle tickets, and giveaways.

Sales and Marketing Team Support:

Assist with drafting and creating sales proposals.
Conduct research on potential sales targets and maintain marketing spreadsheets.
Participate in other sales and marketing projects as needed.

Maintenance/Housekeeping Coordination:

Manage daily communication with a team of four housekeeping staff, including translation support when needed.
Monitor inventory and order maintenance and housekeeping supplies.
Oversee the supply of office essentials such as bottled water.
Serve as the point of contact for vending and filtered water machines.

Qualifications:

Exceptional communication and organizational skills.
Proficiency in Microsoft Outlook, Word, Excel, and internet navigation.
Strong attention to detail and ability to stay highly organized.
Punctuality and reliability; work hours are Monday through Friday, 8:00 AM – 5:00 PM.
Basic accounting skills are a plus, though not required.
Flexibility to adapt to evolving job functions and take on miscellaneous duties as assigned.

Job Requirements:

A minimum of 1 year of receptionist experience.
Familiarity with operating a multi-line phone system.
Experience with office equipment such as copiers, scanners, printers, and fax machines.
Typing proficiency of at least 40 words per minute.
