Summary

We are seeking a Receptionist/Administrative Assistant at Visiting Angels to be the welcoming face of our organization. In a supportive office environment, this role is vital for ensuring smooth operations and exceptional client and employee service as we assist families in providing the best home care.

Responsibilities

Greet visitors and manage incoming calls with professionalism and courtesy.
Provide administrative support to ensure efficient office operations.
Maintain organized records and files, both physical and digital.
Assist with scheduling appointments and managing calendars for staff.
Support office management tasks including supply inventory.
Support staff in assigned project-based work.
Confirm all Google calendar appointments and remind assigned office staff of confirmed appointments.
Creating and maintaining appropriate stock of new client packages
Closing out previous weeks shifts and activities with caregivers in preparation for billing
Process applications and check references; conduct criminal background checks for potential
employees. Schedule interviews for potential employees with appropriate supervisor. Ensure
TB tests are obtained by new employees upon hire; maintain annual testing records.
Organize and maintain file systems in compliance with office policies and regulations.
Perform general clerical duties including correspondence, copying, filing, and distribution of
caller messages.
Handle incoming and outgoing mail.
Timely copying and filing of appropriate caregiver and client documentation.
Assist with organizing and decorating office for special events and holidays.
Generate goodwill for the business with clients, their family members and other referral sources.

Qualifications

Proven experience in customer service or administrative roles, preferably in healthcare or elder care settings.
Team player who loves to engage with people and grow business.
Good use of all in office time, able to prioritize and manage assignments throughout the day
Self starter and independent in all tasks
Professional and well groomed image as our office “host”
Strong organizational skills with attention to detail.
Excellent communication skills, both verbal and written.
Familiarity with phone systems and office equipment.
Basic knowledge of general office software (word, excel, presentations)
Proficiency in Google Suite applications (Docs, Sheets, etc.).
Experience as a scheduling receptionist is beneficial but not required.
Demonstrated computer literacy and ability to learn new software quickly.
