Job Summary
We are seeking a detail-oriented and proactive Administrative Assistant with travel industry or booking experience to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our company by providing exceptional administrative support. This position requires strong organizational skills, effective time management, and the ability to multitask in a fast-paced environment. The Administrative Assistant will be responsible for managing office tasks, assisting with front desk duties, and supporting various administrative functions.
Responsibilities
Manage daily office operations, ensuring a professional and welcoming environment at the front desk.
Provide administrative support, including calendar management, scheduling appointments, and coordinating meetings.
Assist in maintaining organized filing systems and documentation for easy retrieval.
Handle incoming calls and correspondence, directing inquiries to appropriate personnel as needed.
Utilize Microsoft 365 for document creation, data management, and communication.
Support financial tasks using QuickBooks for invoicing and expense tracking.
Collaborate with team members to ensure efficient workflow and project completion.
Maintain confidentiality of sensitive information while adhering to company policies.
Completes Customer Relationship Management (CRM) tasks using Zoho, ClientBase Online / Tres.
Uses the Axus and Sabre app for travel itineraries.
Prepares sample itineraries and creates the Dosskit.
Prepares travel insurance quotes.
Maintains strict confidentiality with client data and trip details.
Qualifications
Proven experience in office management or administrative roles is preferred.
Strong organizational skills with the ability to prioritize tasks effectively.
Excellent time management skills to meet deadlines in a dynamic work environment
Advance proficiency in Office 365 skills (Teams, Word, Excel, Planner, SharePoint, PowerPoint) is essential.
CRM experience in Salesforce, Zoho, or similar CRM.
Excellent time management skills with proven ability to prioritize and multi-task.
A positive attitude and strong interpersonal skills are necessary for effective collaboration within the team.
