The Indiana, Illinois, Iowa Foundation for Fair Contracting (III FFC) is a nonprofit construction industry foundation, established to increase market share for responsible contractors, work opportunities for skilled craftworkers, and value for taxpayers. The III FFC is seeking an Administrative Assistant to perform administrative, office management, ministerial, and clerical duties vital to the operational continuity of the organization. This position reports to the Comptroller and Executive Director.
Compensation & Benefits:
Salary Range: $60,000-$70,000

Hybrid schedule: 1–2 days remote, 3–4 days in office
Duties & Responsibilities:
Provides routine employee announcements and interoffice communications.
Receives and maintains employee vehicle mileage reports and maintenance records.
Supports programmatic employees’ clerical and correspondence needs, including maintaining receipts, printing and mailing correspondence, documents, legal filings.
Assists with board meetings such as ordering food, updating iPads, and set-up.
Maintains office business machines and equipment and coordinates vendors and service delivery.
Performs administrative procurements and maintains office supply inventories.
Assists with new employee onboarding and departing employee exit processes (equipment, supplies, and accounts).
Administers organization’s scholarship program.
Receives ingoing and outgoing mail, including inter-office mail.
Manages recurring office needs: Sonitrol, recurring charges, credit card receipts.
Other duties as assigned.
Required Knowledge, Skills, & Abilities:
Desire for candidate with an accounting degree and 1-3 years of experience, particularly in handling receipts, credit card reconciliation, and expense tracking.
Proficient in Excel, Microsoft Office Suite, and QuickBooks, with the ability to navigate proprietary legacy IT systems.
Prior experience in the business, general, legal, or executive administrative assistant professions.
Administrative writing, purchasing, supply management, inventory control, and vendor coordination.
Ability to organize, manage, and troubleshoot administrative and operational processes.
Ability to multitask while meeting due dates and deadlines in a fast-paced office environment.
Professionalism, courtesy, diplomacy skills, and effective verbal communications.
Ability to occasionally lift, carry, push, or move 20 pounds.
