The Administration Support Specialist will support the hiring process in our Dallas office to ensure that all new hires are welcomed and onboarded correctly. They will also coordinate our preconstruction efforts in Texas so that we are responsive to our client’s requests and are tracking our efforts effectively. They will assist with other administrative duties to ensure that our Texas offices run smoothly, from material orders to answering phone calls and greeting office visitors.
Essential Duties & Responsibilities:
– Serve as main point of contact for the hiring process for new hires. New hires are handed off to Administrative Support Specialist until all hiring steps are completed and the new hire is an employee of the company.
– Assist new hires with completing hiring paperwork and steps required to complete onboarding process.
– Assist in processing payroll timecards to ensure that all hourly employees are accounted for on timecards and paid accordingly.
– Monitor proposal invitations from clients, review invitations, create digital folders in storage system, download proposal documents, enter proposal information in internal digital tracking system, and record outgoing proposal information.
– Assist other team members with material purchases by creating Purchase Orders in company’s internal financial system and following up with material vendors to ensure material purchases on complete and in process.
– Assist with submitting payment applications from project management team to clients via online client portals and payment systems.
– Manage Dallas office hospitality: Answer general phone calls, greet visitors, upkeep of conference room, common areas and kitchen.
– Dallas facility management: upkeep of copy room, stocking of general supplies, delivery of paper and bottled water, basic daily maintenance.
– Other duties as assigned.
Skills:
– Excellent knowledge of MS Outlook
– Excellent knowledge of MS Office
– Comfortable dealing with new hire personnel whom English may not be their primary language (Spanish proficiency a plus)
– Proficiency in English
– Results-driven and patient
– High degree of attention to detail and trustworthiness
Schedule:
– Work hours are Monday-Friday 7:00am to 4:00pm
Qualification and Requirements:
– Valid driver’s license
– High school diploma or equivalent (associate degree a plus)
Experience:
– 3-5 years in administrative or human resources experience (preferred)
