Overview
We are looking for a highly organized, detail-oriented, and naturally positive Office Administrator to join our team at J.C. Stanford & Son, Inc. In this role, you’ll be at the center of our operations — supporting staff, managing administrative tasks, and helping keep the office running efficiently.

The ideal candidate is someone who approaches each day with a positive attitude, enjoys making others’ jobs easier, and can think critically to solve problems independently. Strong communication skills, a willingness to learn, computer literacy and the ability to manage multiple priorities are essential for success in this role.

Responsibilities

Greet visitors warmly and professionally, maintaining a positive office environment
Assist with the brainstorming & execution of marketing projects
Answer and direct phone calls and emails with excellent communication skills
Research project opportunities and forward relevant jobs to the sales team
Process payroll and enter payroll details into QuickBooks with correct job numbers
Record and track expenses accurately in QuickBooks
Create and send project invoices on schedule
Pay approved bills and assist with vendor communications as needed
Open job numbers, organize job files, and maintain updated project records
Reconcile bank accounts and pull job cost reports for leadership
Write and distribute weekly safety inservices that are OSHA compliant
Organize and maintain electronic and physical filing systems for easy information access
Support permitting, vendor onboarding, insurance requests, and other administrative needs
Help coordinate internal communications and scheduling as needed

Requirements

Ability to stay organized and manage multiple tasks and deadlines
Comfortable learning new systems and processes independently (including using online research as needed)
Excellent written and verbal communication skills
Proficiency with computers, including Microsoft Office (Excel, Word, Outlook)
Willingness to learn and grow within the company
Ability to work well both independently and as part of a team
Previous administrative, office management, or bookkeeping experience preferred
Experience with QuickBooks or similar accounting software preferred
Associate’s or Bachelor’s degree in Business, Marketing, or related field preferred (but not required)
