Position Summary
WOVEN seeks a highly organized, proactive, and mission-driven Executive Assistant to support the Executive Director in the day-to-day operations and strategic coordination of organizational activities. This part-time role offers a unique opportunity to contribute to a growing nonprofit and work closely with a passionate, visionary leader.
Key Responsibilities
Serve as the primary point of contact and administrative support for the Executive Director.
Manage the Executive Director’s calendar, including scheduling and coordinating meetings, appointments, and travel.
Draft and edit correspondence, reports, meeting materials, and other written communications.
Respond to emails and phone inquiries in a timely, professional manner.
Assist with internal team communications and build relationships with stakeholders.
Prepare agendas and materials for staff and board meetings; take minutes as needed.
Set up and manage virtual meetings (e.g., Zoom), including tech support as needed.
Maintain filing systems (digital and physical), track reimbursements, and support onboarding of new staff.
Monitor and update project trackers and spreadsheets.
Process invoices and expenses, track budgets, and assist with financial forecasting in collaboration with the Executive Director.
Complete other administrative tasks as assigned.
Qualifications
Bachelor’s degree or equivalent experience (minimum of 2 years in an administrative or executive support role).
Proficiency in Google Workspace (Docs, Sheets, Calendar), Microsoft Office Suite, and QuickBooks.
Strong written and verbal communication skills.
Excellent organizational skills, attention to detail, and ability to manage multiple priorities.
Comfortable working independently and collaboratively in a fast-paced, mission-driven environment.
Demonstrated commitment to diversity, equity, and inclusion.
Preferred Qualifications
Experience working in a nonprofit or social impact organization.
Familiarity with Zoom, Asana, Slack, or other collaboration tools.
Budget tracking or bookkeeping experience.
Compensation & Schedule
This is a part-time, hourly position. Compensation is commensurate with experience. Flexibility in schedule is available.

Pay: $20.00 – $28.00 per hour
