ESSENTIAL FUNCTIONS

Provide high-level administrative support to senior management, including managing calendars, scheduling meetings, and prioritizing appointments.
Screen phone calls, emails, and other correspondence; respond or direct inquiries as appropriate.
Coordinate travel plans, itineraries, accommodations, and transportation for executives.
Prepare and proofread reports, presentations, and other correspondence; ensure proper organization of documents (both physical and digital).
Schedule, organize, and assist in the preparation for internal and external meetings, including handling logistics, preparing agendas, and taking minutes.
Assist with various ongoing projects by conducting research, preparing materials, and tracking deadlines.
Organize and coordinate company events, conferences, or team-building activities, both virtual and in-person.
Handle sensitive information with the utmost confidentiality and discretion, maintaining trust and professionalism.
Requirements:

EDUCATION & EXPERIENCE

Bachelor’s degree preferred or an equivalent combination of education and experience and a minimum of three years of experience performing an executive assistant or administrative role.

KNOWLEDGE & SKILLS

Technical Skills: Proficiency in Microsoft Office Suite – Advanced Excel Skills
Excellent verbal and written communication skills with strong attention to detail.
Ability to multitask, prioritize, and manage time effectively in a fast-paced environment.
Strong critical thinking and problem-solving abilities to resolve issues efficiently and independently.
High level of professionalism, discretion, and ability to handle confidential information.
Ability to build strong relationships with internal and external stakeholders.
Ability to work well under pressure and adapt to changing priorities.

Preferred Qualifications:

Experience with excel and other system applications.
Experience with executive-level scheduling and calendar management.
Knowledge of project management tools and software.
Experience in a corporate or fast-paced environment.
Bilingual or multilingual skills.
