The Position

GENERAL SUMMARY: The Administrative Assistant is responsible for providing confidential support duties for the Benton-Franklin Health District Administrator, Health Officer, and Senior Managers. Responsibilities include scheduling and calendar management, preparing correspondence, word processing and other computer applications, tracking activities, records management, and a variety of support and special assignments.

ESSENTIAL JOB FUNCTIONS:

Compose, draft, type and/or word process, proofread, and edit documents, contracts, and/or correspondence to ensure they conform to appropriate use of the English language and established procedures.
Finalize District-wide documents, provide technical editing, assign and track document numbering, review dates, and document retention and retirement.
Coordinate and support records management, retention, and storage District-wide, ensuring the implementation of retention and disposal schedules.
Examine reports, correspondence, or other materials to determine action needed, and researches and resolves as appropriate.
Serve as project lead for special assignments.
Attend assigned meetings to support recording, transcribing, and distributing agenda and minutes, and assures follow up on action items.
Maintain calendar and schedule appointments, meetings, and agency meeting rooms as requested. Coordinate the logistics for setting up large meetings: locate facility, notify participants, prepare agendas; attend meetings; record results, track additional information and/or any follow up that is necessary.
Supporting inventory, ordering, and supply distribution for operational programs.
Support workforce training and onboarding documentation.
Support branch newsletter publication.
Respond to public inquiries, complaints, and requests for health care information.
Maintain current knowledge and comply with all RCW’s, HIPAA regulations and department/agency policies and procedures to protect the privacy and security of protected health information and confidential information.
Provide back up support for the Sr. Administrative Assistant and others as assigned in times of absence.
Respond to public health emergency drills/exercises or actual events as required.
Responsible for general office duties and other duties as assigned.

KNOWLEDGE, SKILLS AND ABILITIES:

Knowledge of executive level functions, services, techniques and office practices and procedures; ability to quickly learn policies, procedures, and practices applicable in support of managing and directing the operations of the Benton-Franklin Health District.
Knowledge of relevant technological/software applications and resources, with the ability to use computer applications at an advanced level.
Knowledge of business correspondence standards including English, grammar, formatting, spelling, and punctuation. Ability to communicate effectively, both orally and in writing.
Knowledge of mathematical and statistical knowledge appropriate to the assignment.
Ability to develop and maintain effective working relationships with management, employees, elected officials, and the general public.
Ability to understand and follow broad and complex instructions, as well as exercise considerable judgment and initiative.
Ability to handle sensitive and confidential matters and situations; perform a variety of independent research and analysis activities.

The Requirements & Selection Process

MINIMUM QUALIFICATIONS: Business Administration Certificate or Associate’s Degree required, or a combination of education and executive level administrative experience.

Additional Requirements: Performance of job duties requires driving on a regular basis, a valid Washington State driver’s license, the use of the incumbent’s personal motor vehicle when a District fleet vehicle is not available for use, and proof of appropriate auto insurance.
