Position Summary:
Provides administrative support to Public Works Department staff members. Performs a variety of clerical work in keeping official records and issuing and receiving correspondence. Provides excellent customer service over the phone, computer, and in person at all times.
JOB RESPONSIBILITIES:
Provides customer service by answering phones, receiving the public, and assisting customers as needed.
· Answers incoming calls and routes callers to appropriate department staff member or provides information to customer directly when appropriate.
· Receives the walk-in public and answers questions; responds to inquiries from employees, citizens, contractors, developers and others; refers inquiries to appropriate staff members when necessary.
Performs general clerical tasks.
· Faxes, copies, scans and collates information.
· Uses various office equipment such as computer, fax machine, copier, calculator and telephone regularly.
· Enters/retrieves data and information on the computer and performs other computer tasks/responsibilities as assigned.
Distributes incoming mail and processes outgoing mail. May coordinate large volumes of mail for distribution.
Drafts and prepares written correspondence for department staff and managers as requested.
Maintains and compiles records and reports. Files documents, reports, invoices and other correspondence. Maintains files on all professional service contracts and awarded construction contracts in Public Works.
Prepares Public Works monthly claims, including assignment of payment codes from CIP, MFT, Street and Bridge, General, Water, Sewer and other established funds and maintains a hard copy of invoices or may serve as a back-up for this responsibility.
Prepares agendas and minutes for one or more of the following: Public Services Committee meetings, Administrative and Community Services Committee meetings, Plan Commission meetings, Land Use Committee meetings, Zoning Board of Appeals meetings and other meetings as assigned.
Assumes other responsibilities as apparent or assigned.
QUALIFICATIONS:
· High school diploma or equivalent
· 3-5 years of clerical experience is preferred
· Excellent written and oral communication skills. Good use of the English language – speaking, reading comprehension, spelling, grammar and punctuation
· Ability to communicate with the public diplomatically and respectfully; must be polite and professional at all times
· Demonstrated commitment to customer service and exceptional follow-through
· Ability to communicate at all levels internally and externally
· Excellent attention to detail and excellent organizational skills
· Ability to manage multiple actions/projects simultaneously
· Ability to handle confidential and sensitive information in a responsible manner
· Demonstrated PC skills, specifically with Microsoft Office programs; must have above-average keyboarding skills
· Ability to apply basic mathematics and accounting techniques
· Ability to use the Internet as a research tool
· Ability to operate required office equipment to send and receive information with necessary optical, auditory and manual dexterity
· Ability to use a keyboard to enter, retrieve or transform words or data
· Ability to walk, stand or sit for one hour or more at a time
· Ability to lift or carry objects weighing 5-20 pounds
· Ability to closely examine a computer screen or written reports and ability to proofread and check documents for errors
