Job Summary
We are seeking a highly organized and detail-oriented Office Manager to oversee the daily operations of our office. The ideal candidate will possess strong administrative skills, exceptional communication abilities, and a customer-focused mindset. This role is vital in ensuring that our office runs smoothly and efficiently while providing support to our team and clients. A background in real estate administration preferred but not mandatory.
Duties
Manage daily office operations, including scheduling, correspondence, and record-keeping.
Managing leads and prospects
Coordinating the closing process for sales
Assisting with marketing efforts and database management
Supporting the sales team with administrative tasks
Handling phone calls and emails
Organizing documents and maintaining files
Proficiency with office software and CRM systems
Provide exceptional customer service to clients and stakeholders, addressing inquiries and resolving issues promptly.
Assist in the preparation of reports, presentations, and other documentation as needed.
Maintain organized filing systems for both physical and digital documents.
Coordinate meetings, appointments, and travel arrangements for staff as required.
Support sales efforts by managing client relationships and assisting in negotiations when necessary.
Ensure compliance with real estate laws and regulations within office procedures.
Collaborate with team members to enhance overall office efficiency and productivity.
Requirements
Proven experience in an administrative role; experience as an Office Manager is a plus.
Strong organizational skills with the ability to multitask effectively.
Excellent verbal and written communication skills; bilingual or multilingual capabilities are highly desirable.
Customer service-oriented mindset with a professional demeanor.
Familiarity with real estate administrative tasks and knowledge of real estate law is advantageous.
Proficiency in standard office software applications (e.g., Microsoft Office Suite).
Ability to work independently as well as part of a team.

Pay: $66,000.00 – $76,000.00 per year
