JOB TITLE: Office Administrator

SUMMARY: The Office Administrator plays a critical role in ensuring the efficient operation of the office by managing daily administrative tasks, coordinating office activities, and supporting staff and leadership. This position serves as the first point of contact for visitors and external inquiries, maintains office supplies and equipment, and organizes records and correspondence. The ideal candidate is highly organized, detail-oriented, and proactive, with excellent communication and multitasking skills. They contribute to a positive and productive work environment by streamlining processes, providing exceptional support, and fostering a professional atmosphere.

DUTIES AND RESPONSIBILITIES:

· Greet and assist visitors in a professional and friendly manner, ensuring a positive first impression.

· Handle emails and inquiries, directing them to the appropriate contacts while maintaining professionalism.

· Maintain confidentiality while managing sensitive or private information.

· Oversee office supplies inventory and coordinate with vendors and contractors to ensure smooth daily operations.

· Organize and maintain reports, documents, and records for easy accessibility and accuracy.

· Assist with lease management for CARE and act as a tenant point of contact.

· Perform general clerical duties, including filing, copying, faxing, and mailing.

· Assist with sorting and distributing incoming mail, processing outgoing mail, and coordinate package shipments.

· Provide backup for mail duties when main point of contact is unavailable.

· Manage schedules and appointments for meetings, conference rooms, and team activities.

· Assist with tracking department expenses, processing invoices, and preparing financial reports as needed.

· Support special projects and cross-departmental initiatives as assigned by management.

· Develop and maintain organizational systems to improve office workflow and efficiency.

· Maintain lease-related files and serve as a primary point of contact for tenant-related matters.

· Undertake additional duties and tasks assigned, adapting to the dynamic needs of the office.

QUALIFICATIONS:

· Proven experience in a receptionist, office administrator, or similar role preferred.

· Excellent communication skills, both verbal and written, with a professional and welcoming demeanor.

· Strong organizational and multitasking abilities, with the capacity to manage competing priorities effectively.

· Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other office management tools.

· High attention to detail and accuracy, especially in data entry and recordkeeping.

· Ability to maintain confidentiality when handling sensitive or private information.

· Customer service-oriented mindset, with the ability to create positive interactions with visitors, clients, and staff.

· Proactive problem-solving skills and the ability to work independently or as part of a team.

· Familiarity with office equipment, such as copiers, fax machines, and multi-line phone systems.

· Adaptable and flexible, with a willingness to take on new responsibilities as needed.

· High school diploma or equivalent required; additional administrative training or certifications are a plus.
