Overview
We are seeking a highly organized and proactive Executive Assistant to support our executive team. The ideal candidate will be adept at managing multiple tasks, demonstrating excellent communication skills, and maintaining a high level of professionalism. This role is crucial in ensuring the smooth operation of our office and assisting with various administrative functions.

KEY RESPONSIBILITIES
Communication/coordination
· Coordinates scheduling and calendar management, as well as content and flow of information to executives
· Schedules/coordinates meetings, develops/gathers meeting materials and develops agendas and prepares minutes for board meetings, executive leadership meetings, funder/payer meetings and partner meetings (current and potential).
· Drafts and prepares correspondence for internal announcements, executive meetings, board meeting and meetings with external organizations
· Manages correspondence for CEO and CCO as appropriate.
· Manages travel logistics and activities, including accommodations, transportation and meals as appropriate.
· Provides administrative and office support.
· Organizes team communication and plans events, both internal and off-site
Organizational effectiveness
· Monitors and tracks executive leadership annual goals and flags gaps, delays or risks to CEO.
· Liaises with employees to gather information and data critical for meetings for CEO and CCO.
· Researches and organizes data to support projects and executive leadership decision-making, as requested
· Prepares Word, Excel, Powerpoint Presentations, agendas, reports, and other documentation in support of objectives for the organization with oversite from CEO and CCO.
· Writes updated Policies and Procedures (drafts for CEO approval, specifically out of the specific clinical, operational, financial and HR domains)
Traffic control function for CEO and CCO
· Answer questions regarding administrative and operating policies and procedures or directs staff to the appropriate person to respond.
· Manages inquiries and directs to the appropriate CFAR leadership for response if unable to field directly.

Strong working knowledge of Outlook, scheduling, spreadsheet development, document development, and presentation development.
Comfortable with routinely shifting demands.
Working knowledge of general office equipment.
Excellent time management skills
PHYSICAL REQUIREMENTS
1. Frequent communications, verbal and written.
2. Regular interaction with internal agency staff, management, clients.
3. Frequent standing, sitting, and moving within the workplace.
4. Use vision and hearing to identify, observe and assess.
5. Heavy daily use of technology (PC, applications, phones) to perform essential job functions.
6. Occasionally lifts and moves material or objects weighing less than 40 lbs.

Pay: $50,000.00 – $55,000.00 per year
