Position Overview:
We are looking for a part-time office assistant to join our team! The Office Assistant supports the daily administrative operations of the clinic. This role involves interacting with staff and patients, scheduling appointments, managing records, and assisting with billing tasks. Hours for the position include Fridays 8am-6pm, and two additional weekdays from 3-7 pm.
Key Responsibilities:
Patient Scheduling and Communication:
Schedule and confirm patient appointments.
Greet patients upon arrival and assist with check-in/check-out processes.
Answer phone calls, respond to emails, and address patient inquiries professionally.
Administrative Support:
Maintain and organize patient records, ensuring compliance with HIPAA regulations.
Prepare and manage necessary documentation for therapy sessions and insurance claims.
Assist with tracking and managing therapist schedules.
Prepare, organize, and distribute paperwork/documents appropriately.
Input data into systems accurately and efficiently.
Prepare outgoing mail and distribute incoming mail.
Payment Collection & Financial Tasks:
Collect co-pays, process payments, and provide receipts.
Assist with insurance verification and billing processes.
Communicate outstanding balances and payment reminders professionally.
Address patient inquiries related to payments or account balances.
Clinic/Office Organization:
Maintain office/clinic supplies inventory and place orders when necessary.
Organize and maintain office filing systems (both physical and digital).
Monitor and maintain client bathrooms and clinic laundry.
Ensure the front office and waiting areas are clean, organized, and welcoming.
Customer Service:
Provide compassionate and professional support to patients, ensuring they feel comfortable and informed.
Address patient concerns or escalate issues to appropriate staff as needed.
Clinic Support:
Assist therapists with administrative tasks related to patient care, such as preparing therapy materials when time allows.
Coordinate with referring physicians, other healthcare providers, and vendors as needed.
Participate in clinic development, as requested by Clinic Director.
Qualifications and Skills:
High school diploma or equivalent; additional education in healthcare administration is a plus.
Proven experience in a medical or therapy office setting is preferred.
CPR certification preferred.
Knowledge of billing systems is an advantage.
Proficient in Microsoft Office Suite and scheduling software.
Excellent organizational and multitasking skills.
Strong interpersonal and communication abilities.
Ability to work independently and collaboratively in a fast-paced environment.
Familiarity with HIPAA regulations and patient confidentiality requirements.
Work Environment:
This position is in a clinical office setting and may involve periods of standing or walking.
May occasionally require lifting of office supplies or light equipment (up to 20 pounds).
Occasionally subject to irregular hours.
May be subjected to direct/indirect contact with blood borne pathogens or other infectious diseases.
Position Details:
The position is hourly, part-time.
