Full Job Description
Position Summary:
Completes daily tasks and office duties to support parts department, service department and sales department. Coordinates with accounting staff and parts staff to ensure all paperwork is submitted and complete for accounts receivable and accounts payable.
Duties:
Provide a positive and professional example for the organization.
Provide customer service in-person and by telephone, answer questions and address concerns/complaints, research when necessary.
Receive and verify invoices and requisitions.
Verify that transactions comply with financial policies and procedures.
Verify approval on invoices and check requests.
Code, process, and file invoices
Process and follow up on rush items.
Process, print and distribute reports as requested.
Match shipping BOL’s to invoices
Reconcile invoices to packing slips.
Track and manage purchase orders.
Follow up and coordinate with vendors.
Complete filing and maintain files.
Reconcile cash drawer and sales invoices.
Maintain and track on-site DOT and vehicle inspection files.
Answer phones as needed to assist front desk staff.
Operate office equipment.
Observe health and safety precautions to protect people and company property.
Other duties as assigned.
Education, Knowledge and Skills
2 years of applicable experience required
Accounting or Business degree preferred
Able to learn, understand and use computer software and hardware
Experience using Microsoft Office Suite (Word, Excel, and Outlook)
Able to operate a variety of office equipment including a computer, copier and facsimile
Knowledge of accounting principles and practices
Able to analyze information and use logic to address issues
Strong written and oral communication skills, to include effectively conveying information to others, giving full attention to what other people are saying and taking the time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times
Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar
Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, creating spreadsheets, writing business correspondence, and other office procedures and technology
Knowledge of principles and processes for providing customer and personal services
Able to use sound judgment and make appropriate decisions
Able to manage time and prioritize work to meet deadlines
Able to perform with sufficient physical ability and mobility to sit for prolonged periods of time; to occasionally stand, walk, stoop, bend, kneel, crouch, reach, and twist; to lift, carry, push, and/or pull light to moderate amounts of weight; to operate office equipment requiring repetitive hand movement and fine coordination including use of computer keyboard; to verbally communicate to exchange information; to see and hear within a reasonable range for an office environment with or without correction.

Pay: $24.00 – $30.00 per hour
