Position Purpose
Responsible for assisting and supporting the Director and Assistant Director of Student Support Services, including performing administrative, accounting, organizational and receptionist tasks as needed. Represent Littleton Public Schools in a positive, professional and informative manner. Keep privileged and sensitive information in strict confidence.
Essential Duties
Provide administrative support to the Director and Assistant Director of Student Support Services and maintain their calendar
Accurately maintain budgets for Special Education, including the IDEA federal grant and SWAP state grant. Project budget and enter details into respective databases. Initiate or complete requests for budget substitutions and journal entries. Monitor monthly financial reports.
Payroll management including tasks such as processing stipends and inputting timesheets
Work independently and collaboratively to plan and orchestrate meetings, workshops and hiring/selection committees; reserve rooms, complete preparation for meetings and order refreshments as needed.
Gather necessary documents from outside vendors to initiate the creation of the vendor file. Ensure timely payment of bills for outside contractors.
Manage the various parts of the Curo Awards ceremony.
Assist with the Parent Survey by sending surveys and compiling the data.
Work cooperatively with the Student Support Services Team and support staff as well as members of other teams to ensure smooth flow of work.
Receive and return phone calls and communication from parents, principals, staff and community. Schedule meetings and appointments and maintain personal and district calendars with accurate information promptly
Other Duties
Coordinate with other Student Support administrative assistants and team members to support large team projects and functions.
Perform other duties as assigned
Education/Certification
High school diploma or equivalent, plus specialized courses in business, secretarial training or related field.
Criminal background check required for hire
Experience
Two to five years of experience in a general secretarial position
Experience in an educational setting
Experience managing a budget including Grant funds
Knowledge, Skills, and Abilities
Oral and written communication skills; English language skills.
Interpersonal relations skills; Customer service and public relations skills; Ability to diffuse and manage volatile and stressful situations.
Personal computer and keyboarding skills; advanced computer hardware and software skills; operating knowledge of and experience with Microsoft Office and Google.
Operating knowledge of and experience with general office equipment, including telephones, copier, etc.
Knowledge of operating, installing, supporting and maintaining PCs and associated application software preferred at hire.
Critical thinking and problem solving skills.
Bilingual oral and written communication skills preferred.
Ability to maintain confidentiality in all aspects of the job.
Ability to manage multiple tasks with frequent interruptions; Ability to manage multiple priorities.

This is a year round position, 253 days, 8 hours per day – 7:30 – 4:30
Start date July 1, 2025
Starting salary is Grade 9, $27.27/hour
