Overview
We are seeking a dedicated and proactive Administrative Assistant to fill the accounts payable position in our office. The ideal candidate will be primarily responsible for processing orders and invoices. This role requires strong administrative and organizational skills, excellent customer service, and the ability to effectively manage time and meet deadlines. An understanding of Ops is strongly preferred.

Responsibilities

Answer a ringing phone.
Fully assist in managing calls in the office, when necessary, ensuring a high level of resident satisfaction.
Assist in managing the accounts payables for utility and maintenance activities, sometimes coordinating with vendors and contractors as necessary for processing of orders and invoices.
Assist in handling administrative tasks including filing, record-keeping, and managing orders, invoices, and vendor communications.
Utilize OneSite (Ops) software for managing and tracking accounts payables processes.
When necessary, assist in exploring and negotiating contracts with service providers to ensure cost-effective solutions for property management.

Skills

Strong administrative skills with attention to detail in managing payables and documentation.
Experience in facilities management preferred and knowledge of property maintenance best practices.
Familiarity with legal aspects related to property management is a plus.
Excellent customer service skills with a focus on building positive relationships with team members, vendors, and residents.
Proficiency in using OneSite or similar property management software is highly desirable.
Ability to work independently while also being an effective team player.
Strong problem-solving skills and the ability to handle multiple tasks simultaneously.

Pay: $18.00 – $19.00 per hour

Expected hours: 40 per week
