Position Overview:
Join our vibrant Sales Division as an Executive Administrative Assistant, where you’ll play a pivotal role in supporting our VP and the entire team in a fast-paced, exciting environment. This is an incredible opportunity for an enthusiastic individual eager to learn and grow. You’ll manage reports, track monthly programs, and facilitate internal and external communications, all while maintaining our organized filing systems and general administrative duties. Key Accountabilities:
Communication Hub: Act as the primary contact for the Division’s monthly incentives and pricing programs, coordinating efforts with Portfolio Managers and suppliers.
Trade Day Management: Organizes and leads on the coordination, mapping and strategic planning with the VP to ensure days in the trade maximize efforts and output.
Meeting Coordination: Plan and manage the VP’s calendar, ensuring all meetings are organized and equipped with necessary audio-visual tools.
Strategic Program Tracking: Monitor and summarize monthly initiatives and key Focus Brands, ensuring everything is up to date and communicated effectively.
Spirit Trade Center Coordination: Oversees the booking of appointments, invites, sample replenishment, and reporting of ROI involved with the Spirits Training Center.
Event Management: Organize and manage special programs and raffles, ensuring smooth supplier bill backs and incentive payouts.
Data Analysis: Generate and distribute critical sales reports, including advanced Excel analyses to support the VP and Portfolio Managers as needed.
Payroll & Finance Support: Collaborating closely with the Payroll team and managing the Corporate Credit Card expenses.
Requirements:
Knowledge/Skills/Abilities:

Technical Expertise: Advanced proficiency in Microsoft Excel and the Office Suite (Word, PowerPoint, Outlook) as well as experience with Diver reporting tools and is a high-capacity learner willing to learn new tools.
Numerical Accuracy: High accuracy in managing sales data and numbers.
Independent Initiative: Ability to work with minimal supervision, proactively finding solutions and “thinking outside of the box.”
Flexibility: Willingness to work flexible hours as needed to fulfill all role responsibilities.

REQUIREMENTS:
High School Diploma or equivalent required
College degree or equivalent work experience/training/education preferred
Minimum 5 Years’ Experience in an Administrative Role
Proficient in Microsoft Office Suite: Word, Excel, Power Point & Outlook
