Office Administrator

The Association for the Preservation of Historic Congressional Cemetery (APHCC) seeks an organized, self-starter for the full-time, exempt position of Office Administrator. This position offers benefits, including paid time off, sick leave, healthcare and retirement options, a monthly metro stipend and a salary of $45,000.

About the Cemetery

Congressional Cemetery is a privately chartered cemetery founded in 1807 in Washington, DC. Owned by Christ Church Washington Parish, the cemetery is operated by the Association for the Preservation of Historic Congressional Cemetery, a 501(c)(3) organization. The 35-acre property, situated in the heart of Capitol Hill, serves as both an active burial site and a historic location that preserves the legacy of those buried in the cemetery, many of whom played instrumental roles in the history of our nation. As a National Historic Landmark, the cemetery not only has local architectural and social significance but also contributes to the national heritage of the United States and is a national tourist destination. Historic Congressional Cemetery is also an active hub for community engagement including a robust dog walking program, historic preservation projects, unique educational programs, and environmental stewardship efforts. A staff of twelve works together with a robust cadre of volunteers on all aspects of the cemetery’s operations. The cemetery is financially stable with reliable sources of funding, including an endowment, and is growing.

Role and Responsibilities

Reporting to the President, the Office Administrator is responsible for supporting the mission of HCC by answering all phone calls, emails, and other inquiries and supporting the administrative needs of executive staff. A friendly disposition and the ability to anticipate needs is required. This position oversees one paid staff member and is an exempt role which requires a 40-hour work week. Telework options are not available with this position.

Internal Operations

● Develops, recommends, and implements new authorized operational procedures where existing procedures are weak or non-existent.

● Coordinates monthly or bi-monthly staff educational tours and activities.

● Oversees Asana project management and collaboration platform to bring greater productivity, transparency, and collaboration across departments.

● Resolves IT employee issues alongside IT contractors.

● Assists in the administrative tasks associated with onboarding new employees

● Maintains records and files, including the staff SharePoint drive.

● Schedules monthly staff meetings and assists with agenda preparation.

● Schedules virtual and in-person meetings and appointments internally and externally.

● Coordinates cleaning and maintenance of the gatehouse with contract cleaning service.

● Manages all office accounts and databases as determined by senior leadership.

● Maintains supply of printed materials for public consumption

Daily Operations:

● Answers phones and adds calls and messages to Asana.

● Mails correspondence, deed, thank you notes, and receipts

● Processes deliveries and routes them to appropriate personnel

● Serves as primary manager for ‘[email protected]’ account, responding to and assessing requests to determine appropriate destination.

● Manages the gift shop and fulfills gift shop online orders alongside front-facing staff.

● Performs duties for the President as needed, such as running reports, drafting communications, pulling lists, and managing constituents.

● Assists the President with administrative tasks related to fundraising and development, including use of Raiser’s Edge CRM.

● Assists with funerals and events as needed.

● Handles front line complaints and inquiries, provides appropriate solutions and alternatives, provides resolution and excellent customer service.

● Thoughtfully and knowledgeably directs families to our funeral and site sales services, answering questions and providing guidance to support the Director of Site Sales and Funerals for preplanning and at-need services.

K9 Corps Liaison Oversight

● Manages and evaluates the performance of the K9 Corps Liaison, who supports the K9 program, including critical evaluations and making recommendations for its operation, waitlist procedures, and day passes.

● Ensures the K9 Corps Liaison schedules and sends alerts to members regarding closures, policy changes, or other communications as needed.

● Maintains Incident tracking reports and records all worked volunteer hours by K9 Corps.

Finance:

● Assists Finance Manager with audits, processing monthly credit card payments, managing credit card statements and reporting, submitting approved leave requests, and new hire paperwork.

● Manages petty cash and maintains accurate logs.

● Manages monthly budget for supplies, including office, grounds, kitchen, toiletries, maintenance, and uniforms.

● Manage outgoing and incoming invoices, coordinating with the appropriate staff to ensure all invoices are paid in full in a timely and professional manner.
