Job Summary

We are seeking a highly motivated, go-getter Administrative & Operations Coordinator to provide essential support across our executive team, business operations, client onboarding, and project management, while also handling key accounting tasks. The ideal candidate thrives in a fast-paced environment, takes initiative, and is always looking for ways to improve processes. You will play a crucial role in ensuring the smooth operation of our office and business.

Key Responsibilities

Executive Support: Provide comprehensive administrative assistance to executives, including managing complex calendars, scheduling meetings, coordinating travel arrangements, preparing correspondence, and handling task management.
Project Coordination: Take ownership of project timelines, proactively identify and solve issues, track progress, and ensure all project deadlines are met.
Customer Onboarding: Assist Project Management team with onboarding new clients, ensuring they receive necessary training, documentation, and a positive introduction to our services.
Accounting Support: Perform essential accounting data entry, manage invoices, meticulously track expenses, and liaise closely with the accounting team to ensure accurate financial records.
Excel Proficiency: Utilize advanced Microsoft Excel skills for in-depth data analysis, creating comprehensive reports, and organizing key company information to support decision-making.
Operational & Office Duties: Oversee general office management tasks, manage documentation systems, order supplies, and provide critical operational support to maintain a well-organized and efficient workplace.
Communication & Coordination: Act as a central liaison between various internal departments, external vendors, and valued customers, ensuring clear communication and seamless operational flow.

Qualifications & Skills

3+ years of experience in administrative, operations, or project coordination roles.
Exceptional organizational and multitasking abilities, with a proven capacity to manage diverse responsibilities simultaneously.
Excellent Microsoft Excel skills, including proven proficiency with Pivot Tables, VLOOKUPs, and advanced data analysis functions.
Technical Proficiency: Highly proficient with Microsoft Office Suite (Word, Outlook, PowerPoint), Google Workspace (Docs, Sheets, Calendar), and eager to learn and master new business software and platforms quickly.
Strong communication and interpersonal skills, capable of effective interaction with executives, clients, and team members across all levels.
Attention to detail is an absolute MUST for this role.
A flexible team player with a strong willingness to learn new tasks and adapt to evolving priorities.
Ability to maintain strict confidentiality in all aspects of work.
Degree in business, or related field preferred.
Must be able to work in the office. No remote work
