Job Responsibilities
The Office Assistant provides clerical support to office, answering phones, filing, greeting customers, and preparing documents as assigned.
Perform reception and transcription duties as needed.
This individual manages office support functions; prioritizing and coordinating work assignments; reviews work for accuracy.
Coordinates, organizes, and implements inpatient/outpatient schedules.
Provides supervisory responsibilities to the medical office including orienting and training new personnel.
Ability to meet/greet the public in person and on the phone in a positive, friendly and timely manner.
Schedules all outpatient therapy appointments, and works diligently to accommodate patient request, and make necessary changes as indicated.
Ensures that each patient is registered correctly by verifying and obtaining patient demographic and financial information.
Completes insurance verifications with knowledge of Medicare, Workers Comp and private insurance. Informs patients of their financial responsibility when reviewing insurance review forms
Maintains of plan of care tracking through in basket.
Collects cash and completes required deposit tool and processes in a timely manner.
Accurate filing and scanning documents to a patient record in a timely manner.
Receives and screens visitors and telephone calls; responds to general inquiries concerning the activities and or operation of the area(s) as needed and records and relays all messages to appropriate person accurately.
Establishes and maintains departmental record keeping and filing systems (manual and online) records and other documents.
Prepares, processes, and copies requested documents from external agencies, including insurance agencies and legal agencies.
Communicates with therapist/physicians regarding patient information in a timely manner.
Flexes schedule to accommodate volume.
Demonstrates the ability to work as a team member as defined by willingness to help coworkers and assume responsibility for the efficiency and productivity of the department.
Stays current with guidelines affecting front desk operations such as HFAP scripts and PAC communications.
Cross trained on all functions. May be assigned regularly scheduled duties such as scheduling, billing functions as well as office operations.
Ability to work under stress and multi task
Job Requirements
High School diploma or equivalent
Knowledge of medical terminology
3 years clerical experience
Able to type 60 WPM
Intermediate computer skills
Preferred Qualifications
Willing to travel and work at all ouptatient therapy locations
Minimum of 1 year of customer service and/or administrative support experience, preferably in a medical or insurance setting
Experience working with medical terminology preferred
Electronic Medical Records is an advantage, Epic is preferred
