Job Description
Position Overview:
The Oklahoma Lottery is seeking an organized, detail-driven, and proactive Administrative Services Coordinator to support a wide range of administrative functions. This role will assist with recruiting, payroll, purchasing, employee benefits, and various projects, ensuring smooth operations across the agency. The ideal candidate will be adept at multitasking, possess excellent communication skills, and demonstrate the ability to work independently while contributing to team goals.
Key Responsibilities:
Employee Support & Coordination:
Serve as the primary contact for OMES Shared Services to ensure seamless service delivery to lottery employees. Manage the submission and approval of agency time records in alignment with internal procedures.
Purchasing & Compliance:
Support the agency’s purchasing needs by utilizing the state P-Card for administrative purchases, ensuring compliance with Oklahoma’s central purchasing guidelines.
Onboarding & Employee Training:
Lead the enhancement of the Oklahoma Lottery’s new employee onboarding process, ensuring a smooth and efficient experience for new hires. Assist in planning and executing training programs to meet both state and agency requirements.
Employee Communication & Engagement:
Create and present engaging materials to keep employees informed of updates to state-run programs, benefits, and retirement options. Support the development and execution of the agency’s annual employee appreciation program to foster a positive workplace culture.
Reporting & Compliance:
Ensure the agency meets all statutory reporting requirements and supports internal audits as needed.
Various Projects as assigned.
Supervisory Responsibilities:
This position has no supervisory responsibilities.
Qualifications:
Education/Experience:
Associate’s degree in Business Administration, or at least two years of experience in technical clerical work.
Skills & Abilities:
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Strong attention to detail, organizational, and multitasking skills.
Excellent written and verbal communication abilities.
