Position Overview

FWDthink is seeking an experienced clerical and administrative support specialist to join our growing team. In this role, you will provide administrative and clerical support to an organization with a formalized structure, assisting in a digitalization project aimed at scanning, organizing, and digitizing case records.

This role requires strong oral and written communication skills, familiarity with federal government and military culture, and the ability to interact with general officers (or equivalent) and industry executives.

Key Responsibilities

Prepare and develop correspondence, reports, memorandums, presentations, and other forms of communication for distribution.
Review correspondence for signatures from senior leaders, ensuring proper format, grammar, accuracy, and necessary attachments.
Monitor and track correspondence in approved databases to meet assigned suspense requirements.
Distribute correspondence in accordance with approved guidelines and processes.
Plan, coordinate, and organize on-site events and meetings for the assigned headquarters organization.
Secure facilities, submit presentations, and arrange necessary equipment (projector, computer, etc.).
Operate meeting equipment as required and take attendance at meetings.
Draft and distribute meeting minutes as necessary.
Monitor communications to make scheduling recommendations for headquarters personnel.
Develop a thorough understanding of the mission, objectives, and organizational structure within 60 days of hire to facilitate communications effectively.
Maintain files and record systems, schedule and track meeting space, and manage case records digitalization, including scanning, creating files, reviewing and bookmarking records, and preparing envelopes for mailing.
Perform other administrative and clerical duties as assigned.

Required Qualifications

U.S. citizen with an active DoD Secret Security Clearance (or higher).
Associate’s degree and at least three years of experience supporting a DoD HQ or Federal Government HQ staff-level office performing administrative tasks.
Self-starter with a strong motivation to learn and work independently within 30 days of hire.
Excellent communication skills and ability to work in a fast-paced environment supporting senior Air & Space Force leaders.
Exceptional organizational skills, high attention to detail, and accuracy in all tasks.
Proficiency in Microsoft Office Suite and other digital record-keeping tools.
Strong interpersonal and communication skills for interacting with high-level government and industry personnel.
