Position Summary
Under the direction of the Campus Instructional Director, the Office Manager will play a key role in supporting and overseeing essential operational functions of the campus. This includes responsibilities in the areas of Facilities Management, Emergency Drills and Compliance, Site Purchasing, Student Records Management, and Communications. The position is designed for a highly organized, detail-oriented professional with a commitment to accuracy, timeliness, and efficient management. The Office Manager will support the day-to-day operations of the campus, ensuring smooth and effective administrative processes.

Essential Functions

Facilities Management, Drills, and Compliance:

Coordinate and monitor the execution of Emergency Operations Plan (EOP) drills.
Ensure campus facilities are in compliance with regulations and standards.
Address facilities-related concerns and ensure campus environments remain neat, clean, and safe.
Process and distribute mail as needed.
Oversee site contractors, vendors, and visitors to ensure compliance with campus procedures.
Administer and monitor the campus security plan.
Liaise with campus landlord/property management to address facility issues.

Site Purchasing and Inventory Management:

Maintain and report on-site inventory.
Support the maintenance and troubleshooting of site technology.
Manage supply orders, ensuring adequate stock levels for campus needs.
Organize storage areas to ensure proper arrangement and access.

Student Records Management:

Maintain and organize cumulative student records and folders.
Process student records, including enrollments, withdrawals, and transfers.
Ensure timely and accurate tracking of withdrawn students, including documentation and adherence to the school’s withdrawal process.
Provide support for student reception and intake processing.
Assist in processing attendance and absentee notes.
Collect and manage student grades and related documentation.

Communications:

Communicate campus information and reminders to staff, students, and parents.
Utilize mail merge functions to send bulk communication as needed.
Respond to inquiries via phone, email, and help ticket system in a timely and professional manner.

Additional Duties and Organizational Support:

Uphold the mission and core values of the school and ensure alignment with established policies and procedures.
Participate in professional development, training, and school activities.
Assist in the recruitment and registration of new students.
Follow the NSHS escalation list and provide overall administrative support for the campus.

Qualifications

High school diploma (required); college degree or relevant college coursework preferred.
Bilingual in English and Spanish (preferred).
One to two years of clerical or office management experience, preferably in a school or educational environment.
Strong organizational skills and attention to detail.
Excellent communication skills, both written and verbal.
Proficiency in Google Workspace (Docs, Sheets, Drive, etc.).
Must be able to pass federal and state background checks, including fingerprinting.

Total Compensation and Benefits

Salary: $45,000 – $55,000
Care Benefits: Medical, Dental, Vision, LTD
Incentives: Annual performance bonus structure of up to 7.5% of base salary and annual salary movement based on satisfactory evaluation
Paid Time Off: Two (2) PTO days accrued per month and federal holidays, including Independence Day, Labor Day, Nevada Day, Veteran’s Day, Thanksgiving, Family Day, Christmas Eve, Christmas, New Year’s Day, Martin Luther King Day, Presidents’ Day, Memorial Day, and Juneteenth. Staff also participate in a week-long winter break and Clarity Break in June where all school locations are closed and all staff are off.
Other: No state/local income tax and state retirement (NVPERS) 100% paid with no Social Security deductions.
