Our Administrative Assistant is responsible for high-level administrative support, ensuring seamless daily operations, effective communication, and organizational efficiency. The role will manage schedules, coordinate meetings, handle confidential information, and serve as a liaison between leadership and internal/external stakeholders.

What You’ll Do
Provide direct administrative support to the Executive Director, including managing schedules, appointments, and travel arrangements.
Serve as the primary point of contact for internal and external communications on behalf of the Executive Director and Team.
Prepare, edit, and distribute correspondence, reports, presentations, and other documents.
Coordinate and organize meetings, including preparing agendas, taking minutes, and following up on action items.
Assist with special projects, research, and data analysis assigned by the Executive Director.
Maintain confidentiality while handling sensitive information and documents.
Oversee office operations and ensure a professional and organized work environment.
Act as a liaison between the Executive Director, staff, board members, and external stakeholders.
Assist in tracking and managing key organizational priorities and deadlines.
Manage incoming and outgoing communications, including phone calls, emails, and mail.
Run occasional errands in the community on behalf of the Executive Director.
Support operational needs, including maintaining office supplies and coordinating office maintenance.
Education/Experience and Other Requirements
High-school diploma; associate’s or bachelor’s degree in business administration or a related field is preferred.
3+ years of experience in administrative office functions preferred, preferably in a healthcare or nonprofit environment.
Ability to pass a background check, motor vehicle record, and drug screen.
Willingness to sign company NDA and any revisions thereafter.
Proficiency in Microsoft Office with an aptitude for learning new software systems.
A valid driver license and acceptable driving history.

Comfortable handling confidential information.
