We are seeking a highly organized and detail-oriented individual to join our support team as an Office Associate II. In this role, you will provide crucial administrative support to ensure the efficient operation of the Division of Administrative Hearings. The ideal candidate will be a hard-working professional able to undertake a variety of office support tasks and to work efficiently, effectively, and collaboratively, often under pressure.

Primary responsibilities include:

Performing various duties (including the creation of hearing packets) involving the handling of sensitive information, which must be done in strict compliance with security policies and protocols ensuring confidentiality.

Receiving and processing various types of correspondence.

Creating/composing various types of documents, including standard business correspondence.

Carefully examining documents/information, determining facts, detecting errors and irregularities, and taking actions as may be required and authorized, such as those necessary to prevent the improper release of confidential information.

Performing routine, occasional secretarial duties such as completing work schedules, taking calls from the public, and relaying information to hearing officers, managers, and/or parties to administrative hearings.

Occasionally coordinating and assisting in preparations for training and orientation sessions.

Advising and/or assisting other staff who might need help, information, or require technical assistance.

Skills or knowledge required:

Knowledge of Microsoft Word, Excel, and Outlook. Must have the ability to learn and use other software products/tools such as Foxit Phantom PDF, DocuWare, FileZilla, and the ReEmployME system software.

Knowledge of the principles and practices around informational presentations.

Ability to create and use varied correspondence formats and compose standard business correspondence.

Ability to perform basic secretarial duties.

Ability to learn, retain, and follow office policies and procedures.

Ability to determine facts, detect errors and irregularities, and take appropriate action in accordance with established policy and procedures.

Ability to effectively resolve problems.

Ability to exercise good judgment in appraising situations and making decisions/recommendations.

Knowledge of basic principles of customer service.

Ability to interact appropriately and effectively with other members of staff, management, and the public.

Ability to work cooperatively and collaboratively with others.

Minimum qualifications:

Training, education, or experience in office and administrative support work that demonstrates 1) competency in applying a solid knowledge of modern office practices to perform complex, varied office support tasks, and 2) the ability to use independent decision-making on the appropriate processes to follow, information to process, and actions to take in accordance with standard procedures. All positions in this classification assume the qualifications of: Office Assistant I, Office Assistant II, and Office Associate I.
