If so, the Office Associate II (Intake Unit) may be the job for you!

The Maine Division of Vocational Rehabilitation is seeking an Office Associate II to provide support to its Intake Unit. This position provides a variety of clerical task support to a busy statewide team. This position will work in the DVR office that is closest to their home (may select from Portland, Lewiston, Augusta, Bangor or Presque Isle). This is not a remote position.

The person hired for this position will interact regularly with the agency’s clients and partner organizations. Responsibilities require independent decision-making on the appropriate processes to follow, information to process, and actions to take in accordance with standard procedures.

Primary responsibilities include:

Collect and record client information in an online case management system.

Create and issue purchase authorizations.

Communicate with clients and partners by phone, Zoom, TEAMS, fax, email and paper correspondence.

Send and track requests for client documents – including medical records.

Communicate with Intake Unit team members across the state.

Examine documents/information, determine facts, detect errors and irregularities, and take action as authorized

Perform routine, occasional secretarial duties such as complete work schedules, arrange appointments, and review documents to respond to requests.

Develop standard work procedures within established guidelines.

Skills or knowledge required:

Ability to use Microsoft Office and related products.

Ability to create and use varied correspondence formats and compose standard business correspondence.

Ability to prepare standard reports.

Ability to develop and use computerized formats and/or graphics.

Ability to perform basic secretarial duties.

Ability to determine facts, detect errors and irregularities, and take appropriate action in accordance with established procedures.

Ability to effectively resolve problems.

Ability to apply confidentiality principles and practices.

Ability to exercise good judgment in appraising situations and making decisions/recommendations

Minimum qualifications:

Training, education, or experience in office and administrative support work that demonstrates 1) competency in applying a solid knowledge of modern office practices to perform complex, varied office support tasks, and 2) the ability to use independent decision-making on the appropriate processes to follow, information to process, and actions to take in accordance with standard procedures. All positions in this classification assume the qualifications of: Office Assistant I, Office Assistant II, and Office Associate I.
