THIS POSITION IS LOCATED IN PITT COUNTY

The position’s primary purpose of the Division Secretary is to provide administrative support to the Judicial Division Director to include but not limited to duties involving office operations, personnel, public and staff relations and inquiries, composing letters, memos, developing reports and tracking data.

The mission of Community Supervision is to protect the safety of citizens in communities throughout the state by providing viable alternatives and meaningful supervision to offenders on probation, parole, or post-release supervision. The primary goal of Community Supervision is to reach an equal balance of control and treatment for offenders that will positively affect their behavior and lifestyle patterns. Probation /parole officers protect the public safety by helping offenders learn to live within the law. They supervise offenders’ activities in the community and ensure their compliance with court orders and sanctions.

The Department of Adult Correction is responsible for the care, custody, and supervision of all adults sentences after conviction for violating North Carolina laws. This department includes State Prisons with custody, healthcare, and facility operations staff as well as the division of Community Supervision. Other divisions include Administration, Compliance & Accreditation, Comprehensive Health Services, Internal Affairs & Intelligence Operations, Post-Release Supervision & Parole Commission and Rehabilition Reentry.

This is a full-time position (40 hours per week) with benefits.

As of January 1, 2025, there are new increase adjustments to the state’s pay plans which were approved by the State Human Resources Commission. Effective January 1, 2025, the new salary range will be $37,782.00-$66,120.00. Prior applicants will remain under consideration and do not need to reapply.

The employee in this role will have extensive Community Supervision’s staff contact electronically, by telephone or in person and will communicate with employees on a regular basis to include Judicial District Managers, Administrative Specialists, and Chief Probation/Parole Officers as well as staff from other areas of the Department of Adult Correction to gather and disseminate information for the Judicial Division Director.

Position will also have contact with the general public to include offenders and applicants and will respond to inquiries or direct the call to the appropriate person.

Incumbent shall schedule appointments and maintain a calendar for the Judicial Division Director, coordinate meetings and interviews and take minutes at meetings, open mail, develop, track and maintain reports and databases.

Position may have personnel duties to include maintaining investigation databases, corresponding with applicants, and duties relating to time administration with Beacon SAP/GUI.

Position shall have minimal clerical responsibilities in the fiscal area such as maintaining office supply inventory, ordering supplies and mileage logs.

Supervisor may delegate and assign other duties to position as needed.

Knowledge, Skills and Abilities / Competencies

To qualify for this position, applicants must document on the application that they possess ALL of the following:

Experience tracking large amounts of data,
Skills or experience with clear and concise communication in oral and written forms, with accurate grammar,
Experience working independently,
Experience with maintaining confidentiality,
Experience operating a variety of office equipment (ex. computer, copier, fax machine)
Incumbent must possess:

Computer skills to include Word, Excel, email, internet and ability to learn other software programs as needed,
Attention to detail. The need for accuracy is imperative due to the critical nature of the position as any errors may negatively affect operations of the Judicial Division.

Management Prefers:

General knowledge of agency and Community Supervision’s programs,
Experience working in a criminal justice environment.

Minimum Education and Experience Requirements

High school diploma or General Educational Development (GED) diploma and two years of related administrative experience; or equivalent combination of education and experience.

The Division of Community Supervision (DCS) is responsible for overseeing supervision of adult offenders on probation, parole, or post release. The DCS mission is to ensure public safety while helping offenders make positive changes and successfully complete their supervision. DCS collaborates closely with the NC Post-Release Supervision and Parole Commission, the court system as well as other state agencies, and community partners, particularly those addressing mental health, substance use, and re-entry issues faced by our returning citizens. DCS is also responsible for the supervision of offenders who transfer from other states through the Interstate Compact program and has oversight of the Community Service Work Program.
