The Ave South Administrative Assistant is responsible to the church, under the direction of the Lead Campus Pastor for providing administrative support and assistance for the minisiterial staff. This role supports the work of the Worship ministry, Group & Connection Ministry, Next Gen Ministry and Single Adult ministry.
PRIMARY JOB RESPONSIBILITIES may include but are not limited to the following:
Keep office hours from approximately 9:00am until 4:30pm, Monday – Thursday in the physical office.
Being available between 9:00am until 4:30pm on Fridays to answer calls, texts and emails from the church staff, as well as responding to contact and inquiries from guests and members.
Serve daily as the church receptionist, greeting the public and answer the telephone and door.
Check and respond daily to emails in the Campus & Teaching Pastors Outlook inbox, as well as voicemails.
Check and respond daily to emails and communication from the ministerial staff.
Check emails and voicemails on Sunday evening to ensure adequate preparation for the week ahead and ministerial support.
Every Monday morning, ensure that weekly worship attendance counts are submitted to the appropriate database and that the offering is collected and prepared before 12pm.
Weekly work with lay leaders, volunteers and church members to inform them of pertinent details or changes from monthly calendar of events.
Process all incoming requests from outside groups to use the facility. If a decision is made to host the event, ensure all details and information is consistently communicated to the outside group.
Participate in weekly staff meetings, including printing and providing meeting agendas and any other deliverables that the Campus and Teaching Pastor would like distributed.
Assist in maintaining accurate church records, including attendance, membership, baptismal, marriage, newsletter or special mailing lists, etc.
Assist Worship minister to ensure musicians are paid bi-weekly
Assist Groups/Connection minister to ensure records up to date in Ministry Platform
Assist Next Gen Minister to make sure that all new or incoming volunteers have completed the vetting processes, have passed their background checks, and have completed Ministry Safe training
Assist Missions/Single minister as needed for ordering supplies for events/mission endeavors
Each week, work alongside the ministerial staff to support and accomplish various administrative tasks and responsibilities. Whenever there is confusion about such tasks, please refer to the Lead Campus Pastor/Associate Executive Pastor for clarity.
Weekly monitor the office and administrative supplies (i.e. envelopes, notepads, pens, copier paper, etc.) as it relates to the operations of the church office and order these resources as necessary.
Each month, check with ministerial staff to ensure all necessary ministry department supplies are up to date (i.e. coffee orders, curriculum, classroom supplies, special event supplies, etc.).
Maintain a clean and orderly office area at the church on a consistent basis.
Attend monthly All-Staff Meetings and Quarterly Staff meetings.
Attend any meetings or training sessions as needed or required by the Lead Campus Pastor.
Serve as the primary point of contact for external events when necessary or assigned by the staff.
FINACIAL SUPPORT:
Keep accurate records and report the status of individual ministry budgets on a monthly basis, including all capital expenses.
Inquire and/or follow-up on issues relative to vendors or billings upon the request of the Associate Executive Pastor or any other appropriate staff.
Receive scheduled deliveries and allow repairmen access to facilities during regularly scheduled work hours.
Maintain credit card statements, including collection of receipts and coding to specific accounts for the ministerial staff.
Work closely with the Brentwood Baptist Church business office with maintaining the Church at Avenue South’s general ledger, records, preparing reports as necessary, and reconcile each minister’s credit card month end statements.
OTHER RESPONSIBILITIES may include but are not limited to the following:
Complete other duties as assigned by Lead Campus Pastor/Associate Executive Pastor

QUALIFICATIONS:
Be detail oriented and administratively minded
Have strong written & verbal communication skills
Must meet BBC benchmark for computer competency
EDUCATION & EXPERIENCE:
Preferred bachelor’s degree from four-year college or university, minimum of two years related experience and/or training or equivalent combination of education and experience.
