About the Role:
The Administrative Assistant in the Transportation and Warehousing industry plays a crucial role in ensuring the smooth operation of daily administrative tasks. This position is responsible for supporting management and staff by providing essential clerical and organizational assistance. The successful candidate will facilitate communication between departments, manage schedules, and maintain accurate records, contributing to overall efficiency. By effectively coordinating logistics and administrative functions, the Administrative Assistant will help streamline processes and enhance productivity. Ultimately, this role is vital in supporting the company’s mission to deliver exceptional service in the transportation and warehousing sector.
Minimum Qualifications:
High school diploma or equivalent.
Proven experience as an administrative assistant or in a similar role.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Strong organizational skills and attention to detail.
Excellent verbal and written communication skills.
Preferred Qualifications:
Associate’s degree in business administration or a related field.
Experience in the transportation and warehousing industry.
Familiarity with logistics software and inventory management systems.
Ability to multitask and prioritize effectively in a fast-paced environment.
Basic knowledge of accounting principles.
Responsibilities:
Manage and organize daily schedules for management and staff, ensuring efficient time management.
Prepare and maintain accurate records, reports, and documentation related to transportation and warehousing operations.
Facilitate communication between departments and external partners, addressing inquiries and providing necessary information.
Assist in the coordination of logistics, including scheduling shipments and tracking inventory levels.
Perform general office duties such as filing, data entry, and managing correspondence to support overall operations.
Skills:
The required skills for this position, such as proficiency in Microsoft Office Suite, will be utilized daily to create reports, manage schedules, and communicate effectively with team members. Strong organizational skills will enable the Administrative Assistant to maintain accurate records and ensure that all documentation is up to date. Excellent communication skills are essential for facilitating interactions between departments and addressing inquiries from external partners. The ability to multitask will be crucial in managing various administrative duties simultaneously, ensuring that all tasks are completed efficiently.
