We are seeking a highly organized and detail-oriented individual to join our team as a Front Desk Agent. As the first point of contact for our guests, you will play a crucial role in providing exceptional customer service and ensuring a smooth check-in and check-out process. This position requires strong administrative and organizational skills, as well as proficiency in computer systems and office software.

Job Overview:

Telephones/ Fax/ Scan

· Answer all incoming calls and take written messages as needed or transfer calls to voice mail.

Administrative Support

· Assist with Processing Rental Applications for Property Managers using internal point system

· Assist Property Managers with Ordering Leases·

Assist Property Managers with HOA Applications

· Administrative duties as Directed by manager

· File/ Scanning – Assist Property Managers/ Maintenance Staff

Marketing

· Post Ads on Social Media for vacant properties – Linked In – Facebook – Other

· Review website postings with regards to updates and changes, ensure photos are correct

· Create monthly Social media calendar

· Assist sales staff with preparing marketing as needed (flyers, mailings)

Rental Brochures/ Forms/ Applications

· Make copies of applications, keep front cabinet stocked

· Make sure Property Managers have the correct applications for HOA/ Condo associations –

Reporting

· Reports as requested

Other

· Answer Guest Cards throughout the day

· Receive rental payments / lease renewal payments from walk-ins

· Process Move-Outs

· Assist maintenance with utility connections

· Receive Move-out keys/ obtain forward address and add to Appfolio

· Stock Kitchen and Bath supplies

· Assist with ordering supplies

. Accept and document keys returned from Tenant. Label keys/entry remotes/pool keys.

Requirements:
– Previous experience as a personal assistant, Medical receptionist, or in an administrative role is preferred
– Strong organizational skills with the ability to multitask effectively
– Excellent attention to detail
– Computer literacy with proficiency in office software (e.g., Microsoft Word, Excel)
– Ability to handle confidential information with discretion
– Exceptional communication skills, both verbal and written
– Professional appearance and demeanor

– Bilingual a plus!

Pay: $19.00 – $22.50 per hour
