The Administrative Assistant plays a vital role in supporting the Veterinary, Human Health, and Operations teams by managing course details, coordinating with instructors, and ensuring smooth event execution. The Administrative Assistant will be responsible for maintaining records in Momentus (venue and logistics software) and Aptify, coordinating logistics, and assisting with surveys, agendas, and event recaps. The role also involves data entry, scheduling, and maintaining trackers and reports. Strong organizational skills, attention to detail, and multitasking are crucial for success.

ESSENTIAL JOB DUTIES & RESPONSIBILITIES

Add and update event details in Momentus, confirming event logistics
Request and verify agendas, editing times as needed to ensure correct CE hours, and coordinate shuttle schedules
Keep instructor information current in Momentus, Aptify, and on the website
Oversee participant surveys, including pulling and compiling results, sending thank-you notes, and organizing monthly event recap meetings
Initiate discussions on post-event debriefs to review last minute changes or issues and update Momentus to prevent future problems
Assist with scheduling team meetings and course reviews

EDUCATION, EXPERIENCE SKILLS & ABILITIES

5-7 years of administrative experience, preferably in event coordination or a related field
Familiarity with Momentus and Aptify systems a plus
Experience in the veterinary or healthcare industry preferred

PHYSICAL REQUIREMENTS

Ability to sit, use hands and fingers, talk, hear, and smell continually.
Ability to stand, walk and reach frequently
Ability to climb or balance, stoop, kneel or crouch occasionally
Ability to lift and carry up to 10 lbs., and occasionally lift and carry up to 50 lbs.
Close vision required to see computer monitor, read documents, and operate copy and fax machine
Work environment is indoors and climate controlled. Occasionally exposed to outdoor weather conditions
