We are seeking a highly organized and proactive Office Coordinator to support the daily operations of our office and ensure a professional, efficient, and welcoming environment. This role is ideal for someone who enjoys balancing administrative responsibilities with front-facing support and coordinating multiple priorities.
Key Responsibilities:
- Serve as the first point of contact for visitors, clients, and vendors, providing a professional and welcoming experience
- Manage front desk operations, including phone calls, mail distribution, and general inquiries
- Coordinate calendars, meetings, and conference room scheduling
- Oversee office operations, including supplies, facilities coordination, and vendor relationships
- Support internal teams with administrative tasks such as document preparation, reporting, and scheduling
- Track and follow up on office projects, ensuring completion in a timely manner
- Assist with planning and coordinating meetings, events, and office initiatives
- Maintain organized records, filing systems, and shared office resources
- Partner with cross-functional teams (HR, Finance, IT, etc.) to support operational needs
- Identify opportunities to improve processes and enhance office efficiency
Qualifications:
- 3+ years of experience in office coordination, administrative support, or a related role
- Strong organizational skills with the ability to manage multiple priorities
- Excellent communication skills, both written and verbal
- High attention to detail and strong follow-through
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams)
- Ability to work independently and collaboratively in a fast-paced environment
- Professional demeanor with a customer-service mindset
Preferred Qualifications:
- Experience with vendor coordination, facilities management, or event planning
- Familiarity with CRM systems, project tracking tools, or office management platforms
