About Us:

The Hill Country Children’s Advocacy Center (HCCAC) is a mission-driven organization dedicated to providing coordinated, child-centered responses to abuse through advocacy, therapy, and prevention. We work collaboratively with law enforcement, child protection, medical, and legal professionals to ensure safety and justice for child victims of abuse.

Position Summary:

The Office Coordinator plays a critical role in ensuring the smooth and professional operation of the HCCAC office. This role provides administrative support to staff and multidisciplinary partners, manages HR functions, maintains facilities and equipment, and supports donor engagement and event coordination.

Key Responsibilities:

· Provide administrative support to staff, MDT partners, and clients

· Coordinate human resources functions: recruitment, benefits, compliance, training, and retention

· Manage time sheets, personnel files, and HR issues in collaboration with the Executive Director

· Oversee office facilities and equipment to ensure safety and efficiency

· Maintain office supply inventory and ensure cleanliness of the workplace

· Sort and distribute mail, assist with bank deposits as needed

· Track donations and generate thank-you letters

· Support credit card reconciliation and payment processing

· Serve as liaison with contractors (insurance, IT, phone, CPA, etc.)

· Provide basic support for Microsoft 365, donor databases, and password management

· Assist with agency fundraisers, community events, and conferences

· Perform other duties as assigned

Required Qualifications:

· Bachelor’s degree in business administration, finance, or related field

· Minimum 3 years of progressive experience in operations or administrative roles

· Knowledge of HR best practices and operations management

· Strong computer proficiency, including Microsoft Office and database systems

· Excellent written and verbal communication skills

· Strong organizational and time management abilities

· High emotional intelligence and customer service orientation

· Commitment to confidentiality, professionalism, and cultural sensitivity

· Passion for supporting child-focused, trauma-informed services
