Position Overview:

Jardogs.ai is looking for an organized, friendly, andproactive Office Coordinator to be the backbone of our daily office operations in Hillsboro. You’ll be the first point of contact for visitors and callers andplay a key role in ensuring our office environment is welcoming and organized. Thisis a fantastic opportunity for someone looking to start their career in office administration within a dynamic tech startup.

This position requires working on-sitedaily at our Hillsboro, IL office.

Key Responsibilities:

Front Desk & Reception: Manage the front desk, greet visitors warmly,answer the main phone line, and direct inquiries appropriately.

Office Environment: Maintain a tidy, organized, and professional officespace, including reception, meeting rooms, and common areas.

Supply Management: Monitor, order, and restock office supplies, snacks,beverages, and necessary equipment.

Meeting& Scheduling Support: Assist with scheduling team meetings,booking conference rooms, and coordinating basic meeting logistics (e.g.,setup).

Administrative Tasks: Provide general administrative support such as handling incoming/outgoing mail and deliveries, filing, scanning, copying, andbasic data entry.

Vendor Coordination: Liaise with building management and office vendors(e.g., cleaning services, maintenance) as needed.

Team Support: Assist with coordinating logistics for team lunches, smalloffice events, or gatherings.

General Support: Pitch in with other administrative tasks as needed to helpthe team and keep the office running efficiently.

Requirements

Qualifications and Skills:

High school diploma or equivalent required;
Bachelor’s/Associate’s degree orsome college coursework is a plus.

Proficiency with basic computer skills, including Microsoft Office Suite (Word, Excel,Outlook) or Google Workspace (Docs, Sheets, Gmail, Calendar).

Excellent verbal and written communication skills with a friendly and professional demeanor.

Strong organizational skills and attention to detail.

Apositive attitude, reliability, and a willingness to learn and take initiative.

Abilityto multitask and manage time effectively.

Customer service orientation – enjoys helping others.

Prior experience in an office setting, reception, or customer service role ishelpful but not required for candidates with the right aptitude and attitude.

Requirement: Ability to work full-time, consistently on-site at our Hillsboro,IL office.
