Office Coordinator Jobs in Livonia – Michigan – USA at Aalberts Surface Technologies
Responsible for day-to-day office duties and provides administrative support to the various departments for headquarters, located at the Livonia, MI office. This position is 30 hours a week, Monday – Thursday. A Friday work day could be required occasionally based on need and workload.
PRINCIPAL ACCOUNT ABILITIES:
Answer incoming phone calls and manage front office reception door for visitors, handle check-in process
Receive mail and distribute appropriately
Support Executive Team preparing agendas, coordinating meetings/events/training
Hotel/restaurant reservations for Executive Team (local & European) events/visits
Assist with meeting planning/preparation for on-site meetings in Livonia
Order office supplies/paper products for HQ office
Manage/update employeecommunicationboards with HQ relevant information
Assist with administrative tasks related to new acquisition targets
Maintain/distribute company phone listing
Maintain HQ organizational chart
Work with external vendor to organize/print annual company calendar
Organize birthday lunches for HQ team
Order company custom stationary and business cards
Manage office desks/cubicle spacing, and ordering/selling of office furniture
Oversee interior design of office (nameplates, signage, personalized glass frosting on offices, etc.)
Primary point of contact for logo attire embroidery
Other duties and responsibilities as assigned
Requirements
KNOWLEDGE SKILLS / ABILITIES:
Proficient in Microsoft Office:
Word, Excel, PowerPoint, Outlook.
Proficient in ERP Systems.
Computer literate in a windows-based environment.
Flexible and able to shift daily priorities to the needs of external and internal customers.
Quick and independent learner.
Detail-oriented
Must have excellent interpersonal, communications and writing skills along with an ability to use tact in dealing with others.
Must be self-motivated and able to handle multiple tasks, (confidentiality is critical in this position).
Positive outlook andflexibilityin assuming responsibilities.
Ability to plan, organize work, and meet deadlines.
Ability to use office automation tools and techniques to generate reports, briefing materials, and/or comparable documents; must be a qualified typist.
Ability to access or locate information through the use of a personal computer or terminal.
Knowledge of general office administrative and clerical procedures.
Knowledge of the organizational and functional responsibilities and operations of the employing organization.
Ability to interpret and apply policies, procedures and precedents.
Ability to work cooperatively as a member of a team.
Ability to gather, analyze, and present facts.
QUALIFICATIONS:
High School Diploma required
Computer literacy (detailed knowledge of Microsoft Office (ERP systems a plus)
Two-year Degree in Office Management or other related business field is desirable along with a minimum of two years’ experience in an office environment.
Employment experience in customer service.
Must maintain a valid driver’s license & safe driving record in accordance with the position
