We are looking for an outgoing, highly organized and professional Office Administrator (non-exempt) who wants the intimacy of working for a small firm but has the ambition to be a driver for success. This position will require daily attendance in the office and will report to the VP of Administration.
Requirements (What We’re Looking For):
Associates degree required, Bachelors preferred
At least 1 year experience in office management or an administrative role
Excellent communication and people management skills.
Excellent organizational and time management skills.
Proficiency in Microsoft Office, including Word, Excel and PowerPoint.
Ability to multitask and prioritize.
Self-starter with strong problem-solving skills.
Ability to take initiative with projects; proactive nature with excellent follow through is essential.
Responsibilities (What You’ll Do):
Provide complete oversight of the office, including managing phone calls, mail, office visits, building badges, and office supply and equipment inventory
Maintain files and records with effective filing systems.
Maintain a clean and organized office environment.
Support meeting & conferencing needs
Work with Property Manager for building maintenance issues & requests
Track and maintain internal consultant resumes.
Manage various assigned expense reports and fringe benefits
Create and distribute monthly newsletter.
Manage Sales team referrals & send client gifts.
Lead company efforts with HR support in planning fun and creative social events to increase engagement, strengthen relationships and maintain office morale.
Collaborate with numerous departments to support office-wide events (staff appreciation, holiday party, summer party, etc.) as well as other internal and client meetings/events/initiatives.

The hiring base pay range for this role takes into account the wide range of factors that are considered in making compensation decisions including but not limited to skill sets; experience and training; licensure and certifications; and other business and organizational needs. At TopBloc, it is not typical for an individual to be hired at or near the top of the range for their role and compensation decisions are dependent on the facts and circumstances of each case. A reasonable estimate of the current hiring range salary is $45,000 – $57,000.
