Overview
We are seeking a dedicated and organized Office Coordinator to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by managing various administrative tasks, supporting staff, and maintaining effective communication within the organization. This position requires strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.
Duties
Oversee daily office operations to ensure efficiency and effectiveness.
Manage front desk activities, including greeting visitors and handling phone inquiries with excellent phone etiquette.
Maintain organized filing systems for both physical and digital documents.
Assist with medical office management tasks, ensuring compliance with relevant regulations.
Supervise clerical staff and coordinate their activities to optimize productivity.
Handle vendor management, including negotiating contracts and maintaining relationships with suppliers.
Support human resources functions such as onboarding new employees and maintaining employee records.
Assist with payroll processing and ensure timely submission of payroll information.
Travel 20% within 30 miles.
Provide administrative support to management as needed.
Experience
Proven experience in an office coordination or administrative role is preferred.
Familiarity with medical office management is a plus but not mandatory.
Strong organizational skills with the ability to prioritize tasks effectively.
Excellent communication skills, both verbal and written, along with professional phone etiquette.
Experience in supervising staff or managing teams is advantageous.
Proficiency in standard office software applications (e.g., Microsoft Office Suite).
Knowledge of vendor management practices is beneficial.
