**Position Summary:**
The Administrative Assistant (AA) is a pivotal role within our mental
health agency, providing comprehensive administrative support to ensure
efficient operation of the office. The AA handles a wide range of
administrative and executive support tasks and should be able to work
independently with little or no supervision. This person must be
exceedingly well-organized, flexible, and enjoy the administrative
challenges of supporting an office of diverse people and programs.
**Key Responsibilities:**
1. **Communication Management:**
– Answers incoming calls, directs calls to appropriate staff, and
manages message distribution.
– Sends faxes, retrieves, and routes incoming faxes to the
appropriate staff.
2. **Documentation and Reports:**
– Creates correspondence and other formal documents for staff.
– Takes and transcribes minutes at staff meetings, maintains copies,
and manages file archives.
– Enters critical client information into Sharenote, including goals,
standards, treatment plans, and assessments.
3. **Meeting Coordination:**
– Prepares for and sets up meetings including arranging snacks and
beverages, preparing conference rooms, and cleaning up post-meetings.
– Provides support for departmental meetings through organizing,
transcribing minutes, and communicating with staff regarding the
details.
4. **Office Management:**
– Performs daily administrative functions such as word processing,
copying, filing, and data entry and scheduling.
– Maintains program forms catalog, ensuring sufficient copies of all
forms, books, policies, and procedures, including health education
materials.
– Responsible for maintaining required certifications and licenses
for office staff and contract workers.
5. **Client and Staff Support:**
– Coordinates and schedules client appointments on clinic days,
ensuring transportation and medication needs are met.
– Acts as a liaison between clients and mental health workers,
providing community linkages to assist with activities of daily living
(ADLs).
– Facilitates care aspects like case coordination and information
sharing to help clients make informed decisions.
– Manages a minimum caseload requirement of 3 Medical Case Management
clients.
6. **Crisis and Compliance Support:**
– Assists with crisis interventions and the 1013 process.
– Helps with the referral and assessment processes.
– Ensures compliance with day-to-day policies and addresses staff
concerns as directed by the Clinical Director.
7. **Human Resources and Training:**
– Coordinates training sessions and maintains staff training records.
– Conducts human resource housekeeping and audits files.
8. **Additional Duties:**
– Assists with the preparation of regularly scheduled reports.
– Develops and maintains office filing systems.
– Provides general support to visitors.
– Maintains an caseload of at minimum 5 clients, at the scheduling of their choosing.
**Qualifications:**
– Proven admin or assistant experience.
– Knowledge of office management systems and procedures.
– Excellent time management skills and ability to multi-task and
prioritize work.
– Attention to detail and problem-solving skills.
– Excellent written and verbal communication skills.
– Strong organizational and planning skills.
– Proficient in MS Office.
