OFFICE COORDINATOR

THE OPPORTUNITY Kat the Label is looking for an organised, proactive and detail-oriented Office Coordinator to help keep our team, office and day-to-day operations running smoothly as we continue to grow.

This is a dynamic, hands-on role that sits at the heart of the business. You'll support the smooth running of our office, assist across operations and people coordination, and help create an environment where the team can do their best work.

ABOUT KAT THE LABEL Kat the Label is a Melbourne-based lingerie and sleepwear brand built on a genuine community and a whole lot of heart. We're a small, close-knit team spread across our Cremorne HQ, Armadale boutique and Cheltenham warehouse – and whether we're moving fast on a new launch or looking after each other on a tough day, we show up the same way every time. KEY RESPONSIBILITIES

Office & team operations

  • Manage the day-to-day running of the KTL Cremorne HQ
  • Coordinate office supplies, deliveries, maintenance and vendor relationships across all KTL locations including our Cheltenham warehouse and Armadale retail store
  • Ensure the office environment is welcoming, organised and fully functional
  • Act as the connective tissue across our HQ, Warehouse and Retail teams – keeping communication flowing and making sure nothing gets lost between locations
  • Manage calendars, meeting rooms and internal scheduling support as needed
  • Ensure all external guests visiting the office are welcomed and comfortable on arrival

Team & culture support

  • Assist with onboarding new employees and contractors
  • Coordinate team events, celebrations, off-sites and internal initiatives
  • Support culture and wellbeing initiatives across the business
  • Help maintain internal documents, processes and company resources

Operational & administrative support

  • Provide administrative support to the Leadership team and key departments
  • Assist with travel bookings, expenses and invoice coordination
  • Liaise with external suppliers and partners where required

People & compliance support

  • Support the management and filing of employment contracts and HR documentation
  • Help maintain accurate timesheet records and follow up on submission compliance
  • Assist the P&C team with compliance tasks, policy registers and document control

Travel coordination

  • Arrange domestic and international travel for the KTL team
  • Build and manage travel itineraries with attention to timing, preference and budget
  • Handle last-minute changes, rebookings and on-trip support as required

General support

  • Be the go-to person for day-to-day office needs and problem-solving
  • Jump in across teams to support wherever needed
  • Help ensure the business operates efficiently behind the scenes

ABOUT YOU You're highly organised, proactive and calm under pressure. You take initiative, anticipate needs before they arise and genuinely enjoy making things run smoothly.

You'll ideally have:

  • 2-3 years' experience in an office coordination, operations or administrative role
  • Exceptional organisational and time management skills
  • Strong communication and interpersonal skills, with a warm and professional manner
  • High attention to detail and ability to multitask across competing priorities
  • Confidence working across multiple teams, locations and seniority levels
  • Strong proficiency in Google Workspace, Slack and general admin systems
  • Experience in fashion, retail, creative or startup environments is a plus but not essential
